Job Title: Events Coordinator

Position Summary
The Events Coordinator is the on-site leader responsible for bringing weddings, corporate events, and special occasions to life. Acting as the primary event manager on the day of the event, this role oversees event operations, staff coordination, and guest experience to ensure every celebration is executed with excellence.

Key Responsibilities
Event Leadership & Coordination
- Assume ownership of assigned events approximately 10 days prior to execution, reviewing all event details and logistics provided by the Food & Beverage Director.
- Confirm final details with clients, vendors, and internal departments to ensure alignment and readiness.
- Maintain event timelines, room diagrams, staffing plans, and operational schedules.
- Serve as the primary on-site contact for clients, vendors, and event staff throughout the event.
- Ensure all event details are executed according to contract specifications and client expectations.
- Anticipate challenges and proactively resolve issues while maintaining a positive guest experience.
Team Leadership
- Lead event staff through set-up, service, and tear-down operations.
- Delegate responsibilities and provide direction to banquet servers, bartenders, and support staff.
- Maintain a professional, team-oriented environment while ensuring service standards are met.
- Assist with staff training and development as needed.
Operations & Guest Experience
- Oversee room setup, décor placement, equipment staging, and event readiness.
- Maintain familiarity with audiovisual equipment and event technology in all venues.
- Conduct venue tours and menu tastings for prospective and booked clients.
- Complete post-event evaluations and communicate opportunities for improvement.
- Assist with guest transportation and shuttle services as needed.
Additional Responsibilities
- Serve as Manager on Duty within Food & Beverage operations during non-peak event seasons when applicable.
- Support departmental projects as assigned.
- Maintain event spaces, storage areas, and equipment to Bluefin Bay Family of Resorts standards.
Qualifications
- One to three years of hospitality, event management, food & beverage, or related leadership experience preferred.
- Valid United States driver's license.
- Strong organizational, communication, and customer service skills.
- Ability to lead teams and manage multiple priorities simultaneously.
- Problem-solving and critical-thinking abilities.
- Ability to remain composed, professional, and solution-oriented in high-pressure situations.
- Flexibility to work evenings, weekends, holidays, and extended shifts as business needs require.
- Ability to lift, carry, push, and pull up to 50 pounds and perform physical event setup and teardown activities.

Pay: $17.00 - $20.00 per hour
