Position Summary
Fire Safety, Inc. is looking for an organized, dependable Administrative Assistant to support our office and field operations. This role covers front-office duties like answering phones, along with reporting, certification and training tracking, and support for our portables program. You will also help with special projects and general support as needed.
This is a great fit for someone who is detail-oriented, comfortable juggling several responsibilities, and enjoys being a go-to resource for the team.
Key Responsibilities
Front Office
- Answer and direct incoming phone calls
- Greet visitors and handle general office inquiries
- Support day-to-day office operations
Certification, Training & Regulatory Tracking
- Track employee certifications and renewal dates
- Maintain training records and keep documentation up to date
- Send reminders when certifications or training are coming due
- Track and submit required fire marshal documentation and paperwork
General & Project Support
- Assist with portables scheduling
- Assist with new projects as they come up
- Provide support to the Office Manager and other team members as needed
- Help keep office processes organized and running smoothly
Qualifications
Required:
- High school diploma or equivalent
- 1+ years of administrative, office, or customer service experience
- Strong phone and communication skills
- Basic computer skills, including Microsoft Office or similar programs
- Ability to learn new software and systems, such as the Uptick app
- Strong organizational skills and attention to detail
- Reliable and consistent work ethic
Physical Requirements
- Ability to sit or stand for extended periods
- Frequent use of hands and arms for typing, filing, and handling paperwork
