Front Range Event Rental, a leading independent event rental company, is hiring for a Special Event Coordinator at our Fort Collins location. We are looking for a full-time team member, approximately 30 - 40 hours per week. Pay is based on experience.
This position is a mix of customer service, event coordination, administrative work, and hands-on support. The ideal candidate should be comfortable working in a fast-paced environment, helping customers plan events, coordinating with multiple departments, and occasionally assisting with physical tasks such as loading small client orders, cleaning rental items, organizing inventory, and helping in the warehouse or kitchen departments.
Job Duties Include:
- Serving as the “face of the company” for customers
- Assisting customers over the phone, in person, and over email to determine which rental items best fit their event needs
- Creating quotes, reservations, contracts, and invoices for clients
- Processing customer transactions using all forms of payment
- Calling or emailing clients to confirm orders and receipt of quotes
- Managing open contracts, reservations, and client follow-ups
- Calling any will-call customers we are still waiting on prior to closing
- Problem-solving and handling customer situations, including last-minute changes, damaged or missing items, and order adjustments
- Communicating with delivery trucks while they are out on delivery routes
- Coordinating customer needs with warehouse, drivers, linens, kitchen, and office staff
- Maintaining proper merchandise inventory levels and ordering items as needed
- Keeping the showroom clean and organized throughout the day
- Creating showroom displays based on current trends and event inspiration
- Processing locate tickets through Colorado 811
- Processing fire permit applications through the appropriate fire department
- Using a CAD program to help determine appropriate tent sizes and event layouts
- Assisting with website, blog, and social media maintenance
Physical and Hands-On Duties:
While this is primarily an office and customer service position, our office team also helps with small client orders through the front showroom. This may include occasional lifting, pushing, pulling, loading, and unloading of items such as small table and chair orders, dishware, linens, and other rental items.
Because our showroom is closed on Wednesdays, this day is typically more hands-on and may include helping in the kitchen or warehouse departments, or occasionally assisting on deliveries or onsite setups. Wednesday duties may include cleaning rental items, organizing inventory, pulling and packing items for orders, prepping items for upcoming events, or assisting with setup-related tasks.
