This is a foundational hire. You will be the first Senior Project Manager at ReturnPro, which means you are not stepping into a defined function. You are building one. You will own project delivery across the organization and set the standards. Speed and execution are the measures of success here.
This role reports to the VP of Product but functions as a support role across the whole organization, focused on the highest-value projects company-wide rather than a single team or department.
We have a strong preference for candidates based in Miami, FL. Candidates in the Eastern or Central time zones will also be considered based on their qualifications for the role.
In 2026, this role is an AI-powered role by default. We expect you to use AI tools actively and fluently to manage more, move faster, and deliver better outcomes than any traditional PM could. This is not optional. It is the baseline expectation.
Primary Responsibilities/Duties

Design and run the project management function from scratch: processes, tooling, and cadence.
Simultaneously manage multiple high-priority projects across product, operations, and commercial without dropping quality.
Use AI tools (LLMs, workflow automation, AI-assisted planning) to accelerate delivery and reduce manual overhead.
Drive cross-functional alignment in a fast-moving environment where priorities shift and decisions need to happen quickly.
Communicate clearly at every level, from daily standups with engineers to executive updates with the leadership team.
Identify blockers early, escalate where needed, and resolve issues without waiting to be asked.
Build the measurable business case for growing the function, backed by demonstrated delivery results, as the foundation for future hiring.
Establish metrics and reporting that make project health visible and actionable.
You are someone who gets things done. You do not wait for permission, you do not accept vague as an answer, and you hold others to the same standard you hold yourself. You lead from the front, and you do not get slowed down or held back by internal friction, staying clear, prepared, and determined even when opinions differ.
5+ years of project management experience in a fast-paced, high-growth environment.
Demonstrable experience in reverse logistics, logistics, or supply chain, strongly preferred.
Track record of building or significantly scaling a function, not just operating within one.
Experience managing multiple concurrent projects with competing priorities and real deadlines.
Active, daily use of AI tools (ChatGPT, Claude, Notion AI, Zapier/Make, or equivalent) to automate, plan, and communicate.
Able to demonstrate specific examples where AI use created a measurable improvement in output or speed.
Comfortable building lightweight AI-assisted workflows without needing an engineer to do it for you.
Assertive and direct: you say what needs to be said and back it up.
Excellent communicator: written and verbal, with different audiences.
High ownership: if it is on your plate, it gets done.
Resilient: not thrown by ambiguity, change, or pushback.
PMP, PRINCE2, or equivalent certification.
Experience in a startup or scale-up where you helped build the operating model, not just execute within it.
Familiarity with project tooling such as Jira, Linear, Asana, or Monday.com.
At 30 days: You have mapped every active project with owner, status, and blockers, built a stakeholder map, identified the top three sources of complexity with evidence, and shipped one measurable quick win. Weekly status updates are running on schedule.
At 60 days: A PM playbook (kick-off, status update, and escalation templates) is in active use across teams. At least two sources of complexity are resolved, each with a measurable before and after. A single project health dashboard is the source of truth on status, and one cross-team initiative has closed on time and on scope.
At 90 days: On-time project delivery is at 80% or higher. Every active project has a named owner and a clear status, with no silent failures. Time spent in companywide coordination meetings is down by 30% or more, and you can present these results to leadership and the board without support.
At 6 months: These gains are holding and improving. On-time delivery continues to climb, and AI tooling is embedded in how we work.
At 12 months: You have built a clear, measurable business case for growing the function, backed by demonstrated delivery results. ReturnPro moves faster and executes better because of this function.
