We are seeking a dedicated and highly organized Secretary/Treasurer to join our Soil & Water Conservation District team. Duties
- Manage all administrative functions including filing, data entry, and maintaining records with precision and efficiency
- Oversee bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial tracking and reporting
- Handle front desk responsibilities, greeting visitors professionally and directing phone calls via multi-line phone systems with excellent phone etiquette
- Support calendar management and schedule appointments for district staff, ensuring timely communication and organization of meetings and events
- Assist with office management tasks such as ordering supplies, organizing files, and maintaining a clean, functional workspace
- Provide exceptional customer support by responding promptly to inquiries, offering bilingual assistance if needed, and ensuring positive interactions with the public
- Conduct proofreading of documents, prepare reports, and ensure all correspondence is clear, professional, and error-free
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, email communication, and data management
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Experience with office management, clerical duties, and administrative support roles
- Excellent typing skills coupled with high computer literacy for efficient data entry and record keeping
- Familiarity with multi-line phone systems and customer service best practices to handle inquiries professionally
- Knowledge of bookkeeping principles using QuickBooks or similar software for financial recordkeeping
- Bilingual abilities are a plus to assist diverse community members effectively
- Demonstrated time management skills to meet deadlines consistently while managing multiple responsibilities
- Personal assistant or executive secretary experience is advantageous for supporting leadership functions efficiently
