We are a nonprofit counseling center, seeking an administrator who can manage a wide variety of responsibilities. This position supports the work of intern therapists providing affordable therapy to the community. You would be part of a small team that administers key aspects of our program. We are seeking applicants who are inspired by our mission, and who enjoy bringing competent organizational skills to improve our systems and services.
The job requires full time in-person work at our Santa Cruz and Watsonville offices.
Responsibilities:
1) Manage onboarding and administrative training of new staff therapists.
- Collect onboarding paperwork & enroll new employees in our agency apps & payroll.
- Conduct in-person trainings on Google Workspace and TherapyNotes, our EHR platform.
- Train and support staff therapists in bookkeeping, eligibility checks, billing and other administrative duties.
- Track employee onboarding training milestones and progress.
2) Employee Management
- Communicate and complete paperwork for student interns in academic programs.
- Provide technical support for employees using agency apps.
- Track employee performance metrics, address needs for ongoing training.
3) Insurance Credentialing
- Submit credentialing applications for newly licensed therapists.
- Track credentialing application progress.
- Maintain agency rosters with each insurance plan.
4) Office Management
- Purchase and stock office supplies.
- Coordinate office maintenance, repair and upkeep.
- Design and decorate new office spaces.
5) Other miscellaneous administrative tasks
- Respond to agency, mail, email, fax and voicemail inquiries.
- Respond to requests for records, audits, forms.
- Maintain agency spreadsheets, electronic filing systems.
- Promote events through social media, email campaigns and website updates.
- Event support, including hosting, coordinating and promoting.
- Misc tasks as assigned by the Managing Director or Executive Director.
Required Skills:
- Proficiency in Google Workspace
- Strong attention to detail
- Ability to lift 40 lb boxes
- Ability to communicate effectively with a large and diverse staff of therapists
- Ability to communicate effectively with vendors and the public
- Ability to manage and utilize complex spreadsheets of information
- Capacity to make decisions that consider multiple, sometimes contradictory pieces of information.
- Ability to analyze and improve existing administrative systems for greater efficiency.
