Nicely Counseling Services is a thriving group practice in Middleboro, MA that provides mental health & lactation counseling.
We are seeking a highly organized and detail-oriented Office Coordinator to join our dynamic team. As an Office Coordinator, you will be responsible for providing administrative support to our office, ensuring a smooth and efficient work environment. The ideal candidate will possess excellent communication skills, be proficient in using spreadsheets, and have a strong passion for increasing access to mental health care for all populations. Duties:
- Provide general administrative support to the office, including answering phones, greeting visitors, and managing mail and deliveries.
- Manage the office schedule, including coordinating appointments, meetings, and events.
- Respond to new client inquiries by phone and email in a timely and professional manner to coordinate initial appointments.
- Verify insurances and complete required billing for clients and payers.
- Develop and maintain training materials and assist with new employee orientation.
- Utilize office software and systems, including calendar management and phone systems.
- Perform clerical tasks, such as data entry, filing, and document preparation.
- Maintain an organized and tidy office space.
- Assist with special projects, data collection, and tasks as assigned by management.
- Provide exceptional phone etiquette and handle incoming calls professionally.
- Develop and implement organizational systems to ensure office efficiency and productivity.
Schedule & Benefits:
- 32.5 hours per week (Monday - Friday, 9a-4p, in-office)

Qualifications:
- Bachelor's degree in human service related field.
- 2+ years of experience in an office setting, preferably in a healthcare office.
- Excellent communication, interpersonal, and conflict management skills.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Proficiency in Google Suite.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
