Duties
- Greet visitors, clients, and staff warmly while managing front desk operations with professionalism and enthusiasm
- Answer and direct multi-line phone systems efficiently, ensuring prompt and courteous customer support
- Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows
- Support bookkeeping tasks using QuickBooks or similar accounting software for basic financial record-keeping
- Maintain office supplies inventory, organize files, and oversee general office management duties to promote a tidy workspace
- Provide administrative assistance such as copying, scanning, preparing correspondence, and supporting special projects as needed
Experience
- Proven office experience with a strong background in clerical duties and customer service excellence
- Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
- Prior experience in reception roles such as dental or medical receptionist is highly desirable
- Bilingual abilities are preferred to effectively communicate with diverse clients and staff
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong phone etiquette, time management skills, and attention to detail in proofreading and data entry tasks
- Previous experience in office management or administrative support roles that involved calendar management, bookkeeping, or personal assistant responsibilities is advantageous
