School Pics has an exciting opportunity for a Data Entry Specialist to join our team on a long-term, part-time seasonal basis.
This role follows the school calendar, giving you the same schedule as teachers with built-in time off during fall break, Christmas/New Year’s break, spring break, and summer break.
We are looking for a reliable, detail-oriented individual who is interested in a recurring, long-term part-time position that aligns well with school-year schedules. The ideal candidate lives within 10 miles of our lab, can work approximately 9:00 AM – 3:00 PM during the active school season, and works well as part of our Operations team.

Position Summary
Serves as the Data Specialist providing operational support for the Operations Department and Photo Production Lab.
Primary Duties and Responsibilities
Operational Support
- Creation of Master Data Files that become the source data for our camera systems
- Ensuring the accuracy of our Data Files by adhering to established data standards
- Creation and editing of Class Composites and Traditional group layouts
- Communicating with clients to gather missing data and correct data errors
Primary Tasks
- Maintain account booking accuracy in our FileMaker database, including all booking changes and logistics
- Prepare school photo shoot schedules based on roster information from School District IT departments
- Create flyers using MS Publisher and MS Word, then save as Adobe PDF for distribution to schools
- Prepare and format data files from PDF, MS Word, and MS Excel for use in production software
- Prepare Photo Crew Materials for each shoot (Camera cards, shoot schedules, and Absentee Lists)
- Create Composite Groups and Traditional Group layouts for package production
- Keep management informed of scheduling issues, production issues, and customer satisfaction issues
- Support the Production Lab as needed
General Responsibilities
- Represent School Pics in a professional manner at all times while adhering to all company policies
- Work collaboratively and positively as part of our Operations team
- Display confidence and professionalism even during stressful situations
- Other duties as assigned, which may include light production tasks in the lab
Minimum Requirements
- Associate’s Degree or equivalent combination of education and experience
- 2+ years of customer service, administrative, or data entry experience (preferred)
- Intermediate to advanced computer skills, especially Microsoft Excel, Word, PowerPoint, and Google G-Suite
- Experience with FileMaker or similar databases is a plus
- Excellent attention to detail and data accuracy
- Strong phone and customer service skills
- Strong problem-solving and organizational skills
- Ability to work well as part of our Operations team with a positive, collaborative attitude
- Ability to remain courteous when dealing with difficult customers
- Ability to handle confidential information
Job Type: Part-time
Pay: $17.00 - $19.00 per hour
