We are seeking a detail-oriented and organized Accounts Payable / Accounts Receivable Specialist to join our growing team.
Position Summary:
The AP/AR Specialist will be responsible for managing vendor payments, customer invoicing, collections, account reconciliations, and supporting the accounting and operations teams. The ideal candidate has experience in construction accounting and is comfortable working in a fast-paced environment with multiple projects and deadlines.
Responsibilities:
Accounts Payable
- Process and code vendor invoices accurately.
- Verify invoices against purchase orders, contracts, and project documentation.
- Prepare and process weekly check runs and electronic payments.
- Maintain vendor records and W-9 documentation.
- Reconcile vendor statements and resolve discrepancies.
- Assist with lien releases and subcontractor compliance documentation.
Accounts Receivable
- Generate customer invoices and progress billings.
- Track outstanding receivables and aging reports.
- Follow up on past-due accounts and collections.
- Apply customer payments and reconcile customer accounts.
- Coordinate with project managers and estimators regarding billing issues.
- Assist with contract billing and change order tracking.
Qualifications
- 3+ years of Accounts Payable and/or Accounts Receivable experience.
- Strong attention to detail and organizational skills.
- Proficiency with Microsoft Excel and Microsoft Office.
- Ability to manage multiple priorities and deadlines.
- Strong communication and follow-up skills.
Preferred
- Construction industry accounting experience preferred but not a must.
- Experience with lien releases, subcontractor documentation, and project billing.
- Experience with QuickBooks
