Position Summary
The Dispatcher is responsible for receiving, accurately entering, and processing customer orders for ready-mix concrete and concrete pumping, while coordinating truck and driver resources to ensure timely, efficient delivery to job sites. This role serves as the communication hub between customers, drivers, plant operations, and management. Experience with concrete/aggregate trucking dispatch is required.
Availability
The Dispatcher is expected to work Monday through Friday, with Saturdays as required based on production and pour schedules. Concrete delivery is weather- and schedule-dependent, so the Dispatcher must be flexible to adjusting daily start and finish times — including early mornings for large pours — to meet customer needs. A standard work week is between 40–50 hours.
Skills Required
- Communication Skills: Clear, professional verbal and written communication with drivers, customers, plant personnel, and contractors — including two-way radio communication throughout the workday.
- Organizational Skills: Ability to manage multiple simultaneous pours, coordinate load sequencing, and track truck cycle times across one or more plants.
- Problem-Solving Skills: Ability to quickly resolve logistical issues such as truck breakdowns, traffic delays, order changes, slump/mix adjustments, or job site access problems.
- Computer/Dispatch Software Skills: Proficiency with dispatch and batch software, GPS/truck tracking tools, email, word processing, and spreadsheets.
- Customer Service Skills: Ability to professionally quote, schedule, and manage customer expectations around delivery windows, especially under time-sensitive pour conditions.
- Time Management Skills: Ability to prioritize and re-sequence orders in real time as job site conditions, weather, or truck availability change.
- Industry Knowledge: Working knowledge of concrete mix designs, slump, load sizes, aggregate products, and general ready-mix/construction terminology is a plus.
Responsibilities & Duties
- Answer incoming calls and provide order, pricing, and delivery information in a polite, courteous, and professional manner.
- Accurately take and enter customer orders for concrete and aggregate products into the dispatch system, including mix design, quantity, slump, additives, and delivery time/location.
- Schedule and sequence orders for delivery, dispatching trucks to maximize plant and driver resources while meeting customer delivery windows.
- Quote prices for concrete and aggregate products within pricing guidelines established by the Manager.
- Maintain continuous radio and/or phone communication with drivers throughout their routes, including load assignments, site directions, and delays.
- Use the dispatch system to track trucks in real time — load times, travel time, wash-out time, and return-to-plant time — to keep the schedule on pace.
- Coordinate with other ready-mix plants on shared allocation of trucks and drivers during high-volume or multi-plant days.
- Monitor weather, job site readiness, and traffic conditions, adjusting schedules and communicating changes to customers and drivers proactively.
- Interpret and enforce company policies and DOT Hours of Service regulations for drivers; flag drivers approaching HOS limits and adjust routing accordingly.
- Support, encourage, and promote a strong safety culture among drivers and plant staff.
- Build strong relationships with customers and contractors through reliable, timely service, working to make the company their preferred ready-mix supplier.
- Assist in training new dispatchers and drivers on radio procedures, dispatch software, and daily workflow.
- Assist the Manager in directing drivers to alternate work (yard work, equipment maintenance, deliveries for other plants) on slow production days.
- Assist the Manager in ensuring drivers maintain the cleanliness and appearance of their assigned trucks and mixers.
- Troubleshoot customer complaints (late loads, mix issues, damaged property, etc.), document the issue, and resolve or escalate to the Manager/Sales as needed
- Maintain accurate daily dispatch records, load tickets, and delivery logs for billing and reporting purposes.
Requirements
- Proficiency in basic computer skills, including email, word processing, and spreadsheets.
- Must be able to pass a pre-employment drug screen.
- Ability to remain calm and effective under pressure during peak pour times or multi-job scheduling conflicts.
