As we continue to grow, we are seeking a dependable, organized, and detail-oriented Billing & Accounts Payable Coordinator to join our Raleigh office. This position will begin as part-time, with the opportunity to become full-time based on performance and company growth.
Position Summary
The Billing & Accounts Payable Coordinator is responsible for ensuring customer invoices are prepared and sent accurately and on time while managing the timely entry and processing of vendor invoices. This position plays a vital role in maintaining healthy cash flow, supporting vendor relationships, and keeping our administrative processes running efficiently.
This role works closely with management and our accounting team but is not responsible for general ledger accounting, financial reporting, or month-end close.
Responsibilities
Accounts Receivable & Billing
- Prepare and issue customer invoices accurately and on time
- Verify supporting documentation before invoicing customers
- Monitor billing activity to ensure invoices are sent promptly
- Respond to customer billing questions and coordinate invoice corrections when needed
Accounts Payable
- Receive, review, and enter vendor invoices into the accounting system
- Match invoices to purchase orders, receipts, and supporting documentation
- Route invoices for approval and prepare them for payment processing
- Maintain organized vendor files and payment records
- Assist with vendor statement reconciliations and resolve invoice discrepancies
Administrative Support
- Maintain organized electronic and paper records
- Prepare reports, spreadsheets, and correspondence using Microsoft Office
- Answer phones and assist with general office administration
- Support management with administrative projects
- Utilize AI tools and office technology to improve invoice processing, document management, and workflow efficiency
- Learn new software and technology as the company continues to grow
Qualifications
- Previous experience in billing, accounts payable, bookkeeping support, or office administration preferred
- Strong attention to detail and organizational skills
- Comfortable working with invoices, purchase orders, and financial documents
- Proficiency with Microsoft Outlook, Excel, and Word
- Ability to learn ERP and accounting software quickly
- Excellent written and verbal communication skills
- Reliable, dependable, and able to manage multiple priorities
- Positive attitude with a willingness to learn and grow
Schedule
- Part-time (approximately 20–30 hours per week)
- Monday through Friday
- Flexible daytime schedule
