Capital Association Management is seeking a dynamic and organized Front Desk & Administrative Assistant to join our team! This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Responsibilities
- Serve as the first point of contact for residents, guests, vendors, and visitors
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Answer and route incoming calls using a multi-line phone system while maintaining professional phone etiquette
- Provide exceptional customer service and timely follow-up to resident inquiries and requests
- Support the Community Association Manager with daily administrative operations
- Manage community calendars, meeting schedules, amenity reservations, and administrative deadlines
- Maintain homeowner records, databases, and resident files with accuracy and confidentiality
- Prepare, proofread, and distribute correspondence, notices, newsletters, and community communications
- Process work orders and assist with tracking completion of maintenance requests
- Coordinate access control requests, including key fobs, remotes, and transponders
- Manage incoming and outgoing mail distribution
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry and document management within AppFolio and other software systems
- Assist with onboarding new owners and residents, including welcome packets and account updates
- Support property inspections and follow-up activities as directed by management
- Assist with special projects and administrative initiatives to improve office operations

Pay: $18.00 - $20.00 per hour
