Housing File Management Specialist

Position Summary
We are seeking a detail-oriented and organized Housing File Management Specialist to join our Housing Department. This position is responsible for maintaining accurate tenant files, processing housing paperwork, supporting leasing and occupancy activities, and ensuring compliance with applicable housing program requirements.
The ideal candidate has experience working with housing, leasing, property management, or administrative documentation and enjoys working in a structured environment where accuracy and organization are essential. Experience with affordable housing programs is a plus but not required for candidates with strong transferable experience.
Essential Responsibilities
Tenant File Management
- Maintain complete, organized, and accurate tenant files.
- Review applications and supporting documentation for completeness.
- Verify household information, income, assets, and required documentation.
- Prepare move-in and move-out paperwork.
- Ensure all required forms and documentation are completed and properly maintained.
- Assist with applicant eligibility reviews and file updates.
- Process monthly utility reimbursement documentation and submit reports as needed.
Housing Administration
- Complete annual and interim tenant recertifications.
- Calculate household income and assist with rent determinations.
- Maintain accurate tenant information within housing management software.
- Monitor deadlines to ensure required documentation is completed on time.
- Assist with occupancy and leasing documentation.
Financial & Administrative Support
- Review tenant ledgers and account information for accuracy.
- Research and resolve account discrepancies.
- Coordinate with Accounting regarding deposits, refunds, and account adjustments.
- Assist with housing payment processing and related documentation.
- Ensure tenant files are complete prior to move-ins, move-outs, and other program activities.
Compliance & Reporting
- Maintain files in accordance with agency policies and applicable housing program requirements.
- Assist with file reviews, audits, inspections, and compliance reporting.
- Upload and maintain required documentation within agency systems.
- Stay informed of program updates and procedural changes.
Qualifications
- High school diploma or GED required.
- Associate degree in Business, Public Administration, Accounting, or a related field is preferred but not required.
- Previous experience in housing, leasing, property management, apartment administration, real estate support, office administration, or a related field is preferred.
- Experience managing detailed paperwork, tenant files, contracts, or compliance documentation is highly desirable.
- Affordable housing experience is a plus but not required.

- Experience using property management or housing software is helpful but not required.

- Dependable, self-motivated, and able to work independently as well as part of a team.
Physical Requirements
- Ability to sit for extended periods while working at a computer.
- Frequent use of office equipment including computers, printers, scanners, and telephones.
- Ability to lift up to 20 pounds occasionally.

Pay: $16.00 - $18.00 per hour
