Department Information
One of the first human genetics departments in the country, the Department of Medical and Molecular Genetics at Indiana University (IU) School of Medicine has a rich history of training geneticists and genetic counselors and providing genetic consultation and counseling services. Currently ranked 5th in the nation among Genetics Departments for National Institutes of Health (NIH) Funding, received in 2023, the department contributes to the understanding of numerous genetic conditions through the integration of basic research in genetic and genomic mechanisms, translational research in disease models, and clinical trials in rare and common genetic diseases.
The Indiana University Genetic Testing Laboratories (IUGTL) comprise 5 core laboratories: Molecular Genetics, Cytogenetics, Pharmacogenomics, Biochemical Genetics, and Diagnostic Genomics. These laboratories provide comprehensive genetic testing to support both the diagnosis of genetic disorders and the ongoing clinical management of patients.
In addition, the IUGTL sponsors an Accreditation Council for Graduate Medical Education (ACGME) accredited Laboratory Genetics and Genomics (LGG) postdoctoral training program. The LGG program prepares fellows to direct and interpret clinical cytogenetic and molecular genetic testing for the diagnosis and management of human genetic disease.
Job Summary
This position combines the responsibilities of the Program Coordinator for the LGG Fellowship Program and the Administrative Assistant for the IUGTL within the Department of Medical and Molecular Genetics. This position plays a critical role in the successful operation and ongoing accreditation of the LGG training program.
Department-Specific Responsibilities
- Provides direct administrative support to laboratory directors and assists with a broad range of laboratory administrative functions essential to daily operations.
- Serves as a key member of the program leadership team.
- Coordinates administrative aspects of the fellowship, supports trainees and faculty, and helps ensure continued compliance with ACGME accreditation requirements.
- Provides comprehensive administrative support to laboratory directors, including managing complex calendars and scheduling, coordinating meetings, responding to inquiries, preparing and maintaining confidential documents, assisting with the revision and maintenance of laboratory protocols, processing travel reimbursements, and supporting faculty teaching and academic activities.
- Provides administrative support for laboratory operations by ordering supplies, coordinating conference room reservations, preparing visitor itineraries, scheduling meetings and candidate interviews, and maintaining the laboratory document control system.
- Serves as Program Coordinator for the ACGME-accredited LGG Fellowship Program.
- Coordinates fellowship recruitment and application materials, schedules interviews, organizes annual program meetings, monitors Graduate Medical Education (GME) and ACGME deadlines and program requirements.
- Maintains trainee and program records within the MedHub system, and serves as a primary administrative resource for fellows, faculty, and program leadership to support successful program operations and accreditation.
General Responsibilities
- Conducts research and compiles materials and information for departmental programs.
- Prepares records of program activities; oversees and ensures the timely processing and delivery of required materials.
- Reviews the policies and procedures involved in departmental programs; suggests improvements; and ensures that rules comply with university standards.
- Analyzes data and information generated or produced by program; writes reports and other written materials based on this data.
- Verifies the accuracy of all data and information used or generated by program; resolves any discrepancies or problems.
- Responds to requests for program information by staff, students, and faculty; handles any necessary correspondence.
- Serves as liaison for department; coordinates activities and exchanges information.

EDUCATION

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary
$41,808.00 - 46,808.00 per year based on experience and internal equity within the department.
