Job Summary
We are seeking a dynamic and friendly Ranch Front Desk Receptionist & Administrative Assistant to join our team in a support role at our ranch property & animal sanctuary. This position is essential in creating a welcoming environment for visitors, managing daily administrative tasks, and supporting the smooth operation of our ranch.
This is a contract-to-hire opportunity with the potential for long-term placement based on performance and business needs.
The ideal candidate will be energetic, highly organized, and possess excellent communication skills, with the ability to handle multiple responsibilities efficiently. Candidates must be able to maintain a calm, composed demeanor in a fast-paced, high-pressure environment while consistently demonstrating professionalism, positivity, strong communication skills, and a hardworking attitude.
Because we are also an animal sanctuary, applicants must genuinely enjoy being around animals and be comfortable working in an active ranch environment with a variety of animals on the property.

Responsibilities
- Greet visitors warmly and manage check-in/check-out procedures at the front desk
- Answer and direct multi-line phone systems with professionalism and courtesy
- Handle scheduling, calendar management, and appointment setting for ranch activities and events
- Conduct routine walkthroughs and assist in monitoring the cleanliness, presentation, and readiness of guest cabins and common areas to ensure high hospitality standards are maintained
- Assist with check-ins, itineraries, and overall guest experience coordination
- Assist with office management tasks including inventory control, supply ordering, and organization of office space
- Support the private chef with food and supply deliveries, inventory management, kitchen coordination, and occasional guest meal service to help maintain a seamless hospitality experience
- Maintain a polished and organized reception and office environment
- Coordinate with ranch staff and management to ensure seamless guest services
- Support daily office operations and special projects as needed
- Manage administrative functions such as bookkeeping using QuickBooks, processing payments, and maintaining financial records
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily operations
- Perform clerical duties including typing reports, proofreading documents, and managing correspondence
- Provide personal assistant support to ranch management as needed, including task prioritization and time management
Experience
- Previous office or administrative experience in a fast-paced environment
- Strong organizational skills with the ability to multitask effectively
- Proficiency in computer literacy including Microsoft Office Suite
- Excellent phone etiquette with experience managing multi-line phone systems
- Customer service experience demonstrating professionalism and positive communication skills
- Knowledge of QuickBooks for bookkeeping and basic financial recordkeeping is a plus
- Personal assistant or office management experience will be considered an asset
- Ability to handle clerical tasks such as proofreading, calendar management, and time management efficiently
Requirements
This position requires a flexible schedule, with some shifts occurring in the mornings and others in the evenings depending on operational and guest needs. Weekend and evening availability is required, with flexibility to accommodate guest schedules, special events, and seasonal operational needs. Holidays and occasional extended hours may be required based on guest and ranch needs.
