We are seeking a highly organized and proactive HR Administrative Assistant to join our dynamic human resources team. In this role, you will provide essential administrative support to ensure the smooth operation of HR functions across the organization. Your contributions will facilitate effective talent management, compliance with employment laws, and the delivery of comprehensive employee services. The ideal candidate will possess strong organizational skills, attention to detail, and a thorough understanding of HR processes and systems.
Duties
- Assist in coordinating talent acquisition activities, including job postings, applicant tracking system (ATS) management, and interview scheduling.
- Support employee onboarding and orientation programs to ensure seamless integration of new hires.
- Maintain accurate personnel records and manage data entry within HRIS (Human Resources Information System) platforms such as Workday or SAP SuccessFactors.
- Facilitate benefits administration processes, including enrollment, changes, and inquiries related to employee benefits packages.
- Assist with performance management initiatives by organizing evaluations and supporting employee development programs.
- Contribute to compliance efforts by monitoring regulatory requirements such as FMLA, OSHA standards, and employment law updates.
- Support project management activities related to workforce planning, succession planning, affirmative action planning, and organizational design.
- Handle confidential information with professionalism and discretion while managing correspondence and documentation.
- Collaborate with HR team members on training & development initiatives and employee relations matters.
- Utilize MS Office tools such as Excel for data analysis and reporting; support payroll processing using systems like ADP or Paychex.
Qualifications
- Proven experience in human resources department functions, including HR sourcing, personnel administration, or related administrative roles.
- Familiarity with HR systems such as Oracle HCM, UltiPro, Taleo, or Ceridian is highly desirable.
- Knowledge of employment & labor law, HR legal compliance requirements, and workers' compensation procedures.
- Strong communication skills with the ability to interact effectively across diverse teams and stakeholders.
- Proficiency in Microsoft Office applications; experience with Excel data analysis is preferred.
- Demonstrated ability to manage multiple tasks efficiently within a fast-paced environment.
- Prior experience supporting benefits administration, payroll processing, or HRIS data collection is advantageous.
- Ability to handle confidential information responsibly while maintaining accuracy in data entry and record keeping.
