Description:
Nativity of Our Lord Catholic Parish in Broomfield, CO, is seeking a part-time evening Front Office Assistant to serve Monday–Friday, 4:30 PM–8:30 PM.
This role supports the daily operations of a vibrant and active parish, providing a welcoming presence to all who enter. Duties will include answering phone calls, completing bookstore sales, directing parishioners and guests to various rooms and ministries, cleaning and refilling the coffee machine, and receiving and routing emergency calls for priests.

PRIMARY RESPONSIBILITIES

Model excellent customer service by helping visitors promptly, listening to their requests or inquiries with interest and empathy, and ensuring follow-through whenever necessary.

Closely monitor personal and front desk email addresses to ensure quick and accurate communication to all inquiries.

Document and communicate room reservation requests for various individuals, ministries, school events, and outside groups and alert ministry leaders and guests of any changes.

Receive and route emergency calls requesting Anointing of the Sick (“last rights”), gather and communicate all information to the on-call priest, and keep records of calls for annual counts.

Monitor the Three Patrons Adoration Chapel sign-ins to ensure the Blessed Sacrament is never abandoned, assist visitors with entry to the Chapel during high wind, and switch the open/closed sign on the door to the Chapel.

Receive, process, and record Mass intention requests and stipend payments legibly while following parish procedures.

Receive and deliver packages, distribute mail accordingly, make copies and scan documents for staff and ministry leaders when requested, and assist with bulk mailings.

Assist St. Vincent de Paul Society with collecting signatures and documents to complete EOCs.

Receive, process, and record tuition payments, mass stipends, and receipts.

Assist customers with bookstore questions, maintain bookstore cleanliness and organization, run price checks on items, process sales and returns, and alert manager of any special requests or if stock is running low.

Monitor the front desk and coffee area, keep area clean and organized, clean and refill the coffee machine daily, and alert manager if supplies are running low.

Stay intimately aware of NOOL’s resources, ongoing campaigns, and general activities, and assist clergy and staff with other tasks as they arise.

QUALIFICATIONS

Fully initiated Catholic in the communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041-2043).

Outstanding customer service skills and professional attitude.

Exceptional verbal and written communications skills.

Fluency in spoken and written English required, additional languages are valuable.

High school diploma or relevant transferable professional skills required.

Well-organized, detail-oriented, ability to multi-task with timely follow-up skill.

Capable of following both written and verbal instructions.

Proficient in office technology, including phones, Microsoft Office Suite, Google drive, Gmail, and various other applications to enhance productivity and communication.

Effective both independently and in team settings. Must possess the ability to engage positively and effectively with individuals of diverse personalities, ages, and management levels, both within the parish and externally, fostering positive relationships in person and over the phone.
PHYSICAL REQUIREMENTS

Sitting/Standing: Ability to sit or stand for extended periods, typically while working at a desk or computer.

Manual Dexterity: Frequent use of hands and fingers to operate office equipment, including computers, phones, printers, and filing systems.

Lifting/Carrying: Occasionally lift and carry light objects, such as files, documents, and office supplies (typically up to 20-25 pounds).

Walking/Moving: Ability to walk or move around the office to perform various tasks, such as filing, delivering documents, or restocking supplies.

Vision: Sufficient visual acuity to read, prepare, and proofread documents on paper or a computer screen.
