All Kind Painting & Cleaning is a growing multi-family housing painting and cleaning company serving properties throughout the Twin Cities metro area. Our Hallway Division plays an important role in maintaining clean, safe, consistent, and professional environments for our clients and their residents.
We are looking for an experienced Administrative Operations Manager to join our Hallway Division leadership team and help drive organization, accountability, operational efficiency, and continued growth.
Position Overview
The Administrative Operations Manager – Hallway Division is a key leadership position responsible for the administrative coordination, operational systems, workforce planning, reporting, and performance management that support the Hallway Division.
This position serves as the central administrative point of coordination between field leadership, property managers, employees, payroll, scheduling, HR, accounting, and executive leadership.
The ideal candidate is highly organized, analytical, proactive, and comfortable managing multiple priorities in a fast-paced environment. This is not simply an administrative position—it is an operations leadership role focused on creating systems, identifying problems, improving processes, and ensuring the division operates efficiently and consistently.
Key Responsibilities
Operations & Administrative Leadership
· Serve as the primary administrative leader for the Hallway Division.
· Maintain visibility across all hallway properties and operational activities.
· Coordinate communication between field leadership, office staff, clients, and executive leadership.
· Develop, improve, and maintain operational systems and workflows.
· Maintain accurate digital records, databases, policies, procedures, and documentation.
Contract Management & Compliance
· Oversee hallway service contracts and ensure contractual obligations are being met.
· Maintain organized contract files and property-specific contract information.
· Track contracted labor hours, scope of work, cleaning frequencies, client specifications, and billing requirements.
· Monitor scheduled and actual labor hours against contractual requirements.
· Identify potential compliance and service risks before they become problems.
· Produce weekly contract compliance reporting.
Scheduling & Workforce Coordination
· Oversee employee scheduling throughout the Hallway Division.
· Coordinate PTO requests, schedule changes, employee call-ins, and emergency coverage.
· Monitor staffing levels across properties.
· Coordinate floater assignments based on operational priorities.
· Work closely with field leadership to resolve staffing shortages quickly.
· Ensure properties remain appropriately staffed according to contract requirements.
Labor & Productivity Management
· Review weekly labor reports and analyze labor utilization.
· Compare contracted hours, scheduled hours, and actual hours worked.
· Identify labor variances, overtime, productivity issues, and potential labor savings.
· Track productivity benchmarks.
· Assist leadership with labor forecasting and seasonal workforce planning.
Payroll & UKG Administration
· Serve as the primary payroll and UKG administrator for the Hallway Division.
· Review employee timecards and resolve discrepancies.
· Investigate missing punches and timekeeping issues.
· Process timecard corrections and ensure payroll accuracy.
· Assist employees with PTO, ESST, leave requests, and UKG-related questions.
· Maintain accurate payroll records.
Attendance & Accountability
· Maintain attendance tracking and call-in systems.
· Monitor attendance trends and prepare monthly attendance reports.
· Coordinate replacement staffing when employees are absent.
· Partner with leadership regarding attendance accountability and corrective action.
Reporting & Business Analytics
This position will be responsible for developing and maintaining operational reporting that helps leadership make informed business decisions, including:

· Productivity Reports
· Attendance Reports
· Floater Utilization Reports
· Property Audit Reports
· Margin Analysis
· KPI Dashboards
The successful candidate will not simply produce reports—they will analyze the information, identify trends, and make recommendations for improvement.
Property Documentation & Operational Standards
· Maintain complete and standardized digital property files.
· Ensure documentation includes cleaning scopes, schedules, equipment requirements, chemical specifications, inspection standards, quality checklists, photo standards, and property-specific procedures.
· Coordinate property audits and documentation updates.
Communication & Client Support
· Maintain professional and responsive communication with employees, property managers, clients, and leadership.
· Communicate staffing and scheduling issues appropriately.
· Support client communication when needed.
· Escalate operational concerns appropriately and ensure issues are addressed.
Training, Technology & Process Improvement
· Coordinate onboarding and training schedules.
· Maintain training documentation and SOPs.
· Assist with cross-training initiatives.
· Support implementation of new operational systems.
· Serve as a technology resource for the Hallway Division.
· Utilize UKG, Microsoft Office, Google Workspace, and cloud-based systems.
· Develop reports and dashboards.
· Identify opportunities to improve workflows through technology and process improvement.

Required Qualifications
· Bilingual English/Spanish required
· Minimum 5 years of administrative operations or operations management experience
· Experience with scheduling, payroll, reporting, and workforce coordination
· Strong analytical and organizational skills
· Advanced Microsoft Excel proficiency
· Experience with Microsoft Office Suite, Google Workspace, and cloud-based systems
· Experience with UKG or similar workforce management software preferred
· Excellent written and verbal communication skills
· Strong problem-solving and critical-thinking abilities
· Ability to manage multiple priorities in a fast-paced environment
· Ability to maintain confidentiality
· Strong customer service skills
· Exceptional attention to detail
· Valid driver's license and reliable transportation

Compensation
