PRINCIPAL FUNCTIONS OF THE POSITION:
The Shipping & Logistics Coordinator is responsible for the planning, coordination, and execution of all incoming and outgoing shipments.
This role serves as the central point of coordination between internal departments, customers, vendors, and transportation providers, ensuring shipments are delivered accurately, on time, and in accordance with required handling, security, and documentation standards.
The position manages the full shipment process from planning through delivery, including scheduling, communication, documentation, and issue resolution. This role requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced and changing environment.
RESPONSIBILITIES AND TASKS OF THE POSITION:
- Plan, schedule, and coordinate shipments to meet customer delivery requirements
- Build and maintain shipping schedules based on production timing, inventory availability, and customer commitments
- Adjust shipment schedules as priorities or conditions change
- Arrange transportation using a variety of methods, including:
- Internal delivery resources
- Third-party transportation providers
- Parcel and courier services (such as FedEx, DHL, or similar)
- Shipments requiring secure handling or controlled transportation
- Coordinate shipments that require specific handling, security measures, or customer-defined requirements, ensuring all expectations are met prior to release
- Communicate directly with customers to:
- Confirm shipment availability and readiness
- Validate shipping and delivery timelines
- Provide updates on shipment status, delays, or changes
- Serve as a point of contact for shipment-related inquiries from customers and external partners
- Ensure customer commitments are clearly understood and aligned with internal schedules
- Coordinate incoming deliveries from vendors tied to purchase orders
- Manage daily delivery schedules to ensure proper timing and receiving capacity
- Communicate with vendors and internal teams to confirm delivery details and resolve issues
- Prepare and manage shipping documentation, including bills of lading, packing lists, and shipment records
- Verify shipment contents, quantities, and labeling prior to release
- Ensure all required documentation and approvals are completed before shipments leave the facility
- Ensure shipments meet required handling, security, and documentation standards
- Coordinate shipments that require additional controls, approvals, or verification prior to release
- Maintain accurate records for tracking, reporting, and audit purposes
- Track shipments and provide updates to internal teams and customers
- Identify and resolve shipping issues such as delays, scheduling conflicts, or documentation errors
- Respond to time-sensitive changes and adjust plans as needed
- Support shipments that require international coordination, including documentation and communication with service providers
- Assist in resolving issues related to customs or delivery delays
- Identify opportunities to improve shipping coordination, communication, and efficiency
- Follow all safety, ethics, and security policies
- Perform other duties as assigned by management
QUALIFICATIONS:
- Possess strong written and verbal communication skills, strong problem-solving skills, and the ability to manage multiple priorities in a fast-paced environment
- 3+ years of experience in shipping, logistics, transportation coordination, warehouse operations, or a related field
- Experience coordinating shipments or deliveries using outside service providers
- Working knowledge of standard shipping documentation and tracking processes
- Proficiency in Microsoft Office (Excel, Outlook, or similar tools)
- Strong attention to detail and accuracy
- Ability to communicate effectively with internal teams, vendors, and customers
- Experience working in a manufacturing, production, or regulated environment is preferred
- Experience handling shipments with special requirements (such as secure handling or time-sensitive delivery) is preferred
- Experience with international shipments or working with shipping systems is preferred
- Strong team player with the ability to work independently
- Work week: Monday through Friday; hours as required to support shipping schedules and operational needs
- Ability to occasionally lift, push, and slide packages that typically weigh up to 50 lbs, and may weigh up to 50 lbs.
- Ability to operate or train on equipment used to move material (forklift, reach, order picker).

- Ability to walk, stand, and move between office and operational areas as needed
- Ability to lift, move, or handle materials within standard workplace expectations
