SkyGuard Roofing Solutions is a family-owned roofing and construction company serving the DFW area. We are seeking a highly organized, dependable, and professional Office Administrator/Executive Assistant to help manage daily operations.
This position will grow as the company continues to expand.
Responsibilities
- Organize GSA registration, compliance, and administrative requirements
- Order and track materials for roofing and/or construction projects
- Create and manage Xactimate estimates
- Communicate with insurance adjusters and 3rd parties regarding insurance claims and supplements
- Maintain accurate records, job files, and company documentation
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document creation.
- Coordinate calendar management and schedule appointments or meetings for staff members.
- Handle basic bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Provide excellent customer support by addressing inquiries promptly and professionally via phone or email.
- Assist with office management tasks such as supply inventory, mail distribution, and maintaining a clean, organized workspace.
- Demonstrate strong organizational skills by managing multiple priorities efficiently while adhering to deadlines.
Qualifications
- Proven experience in office administration or clerical roles with a focus on customer service and support functions.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong typing skills with high accuracy; familiarity with data entry processes.
- Knowledge of Xactimate estimating software is required
- Knowledge of QuickBooks or bookkeeping software is a plus.
- Exceptional phone etiquette, proofreading skills, and attention to detail are essential.
- Prior experience as a medical or dental receptionist or personal assistant is advantageous but not required.
- Demonstrated time management skills with the ability to prioritize tasks efficiently.
