Position Summary
The Inventory Associate is responsible for supporting the daily inventory operations, including receiving deliveries, organizing product, maintaining accurate stock counts, assisting with restocking, and ensuring all cannabis products are handled in accordance with company policy and New York State compliance requirements.
This role is critical to the success of the dispensary. The Inventory Associate helps protect product accuracy, prevent loss, support the sales floor, and ensure that all inventory is secure, properly labeled, and accounted for at all times.
Key Responsibilities Inventory Receiving and Organization
- Assist with receiving vendor deliveries and verifying products against invoices, manifests, purchase orders, and internal receiving records.
- Confirm product names, brands, quantities, package sizes, strains, categories, batch numbers, expiration dates, and pricing information.
- Immediately report any discrepancies, damaged items, missing items, incorrect products, or invoice issues to the Inventory Supervisor or General Manager.
- Organize incoming product in the designated inventory areas according to store standards.
- Ensure inventory rooms, storage areas, refrigerators, and back-of-house spaces remain clean, organized, and secure.
Product Accuracy and Stock Control
- Conduct regular cycle counts and assist with full inventory audits as directed.
- Help maintain accurate inventory counts in BLAZE, Metrc, and any other required tracking systems.
- Identify low-stock items, overstocked products, slow-moving products, expiring items, and product discrepancies.
- Support restocking of the sales floor while ensuring products remain properly secured and tracked.
- Ensure no cannabis product is moved, adjusted, transferred, or removed without proper documentation and approval.
Compliance and Security
- Follow all Urban Weeds policies, OCM regulations, and internal compliance procedures related to cannabis inventory.
- Ensure all cannabis products remain secured and are not left unattended or accessible to unauthorized individuals.
- Maintain strict chain-of-custody practices when handling, moving, receiving, or restocking product.
- Never consume, sample, open, give away, discount, or remove cannabis products without proper authorization and documentation.
- Report any suspected theft, loss, diversion, compliance issue, or security concern immediately to management.
- Wear required badge and uniform while on duty and follow all staff access policies.
Sales Floor Support
- Work with budtenders and supervisors to ensure products requested for the sales floor are pulled accurately and efficiently.
- Assist with organizing backstock so the sales team can quickly locate approved products.
- Communicate product availability, low-stock concerns, and product location updates to the appropriate team members.
- Help maintain a smooth flow between the sales floor and inventory room during busy periods.
Vendor and Delivery Support
- Greet vendors professionally and follow the store’s vendor check-in procedures.
- Ensure vendor access is limited to approved areas only.
- Assist with documenting deliveries, invoices, credits, samples, returns, and payment-related notes as directed.
- Maintain accurate delivery records and ensure paperwork is filed properly.
Expectations
The Inventory Associate is expected to:
- Arrive on time, ready to work, and in full uniform.
- Clock in and out properly for every shift.
- Keep all inventory areas clean, organized, and audit-ready.
- Handle all cannabis products with care, accuracy, and professionalism.
- Maintain confidentiality regarding store operations, product movement, security procedures, and vendor information.
- Communicate clearly with the Inventory Supervisor, General Manager, supervisors, and sales team.
- Follow directions, ask questions when unsure, and never guess when handling compliance-sensitive tasks.
- Take responsibility for accuracy and immediately report mistakes or discrepancies.
- Remain calm, focused, and professional during busy periods.
- Treat vendors, coworkers, and leadership with respect.
- Support the overall success, safety, and compliance of Urban Weeds.
Required Skills and Qualifications
- Must be 21 years of age or older.
- Strong attention to detail and accuracy.
- Ability to follow written and verbal instructions.
- Comfortable working with inventory systems, spreadsheets, POS systems, and digital tracking tools.
- Ability to stay organized in a fast-paced retail environment.
- Strong communication and teamwork skills.
- Ability to lift, move, and organize products as needed.
- Must be reliable, punctual, and professional.
- Previous cannabis, retail, warehouse, inventory, stockroom, or compliance experience is preferred but not required.
Physical Requirements
- Ability to stand, walk, bend, reach, and lift during scheduled shifts.
- Ability to lift and move boxes or inventory items as needed.
- Ability to work in back-of-house storage areas, inventory rooms, and sales floor environments.
- Ability to perform repetitive counting, scanning, labeling, and organizing tasks.

Reporting Structure
The Inventory Associate reports directly to the Inventory Supervisor and General Manager. The role may also receive direction from the Manager on Duty or Closing Supervisor when inventory support is needed during daily operations.
Schedule Expectations
Scheduling may include weekdays, weekends, evenings, holidays, and high-volume sales periods. Flexibility is important, as inventory needs may change based on deliveries, audits, store traffic, promotions, and compliance requirements.
Professional Conduct
As a member of the Urban Weeds team, the Inventory Associate is expected to represent the company with professionalism, accountability, and respect. This position plays an important role in protecting the store’s compliance, product integrity, and customer experience.

Pay: $20.00 - $23.00 per hour
