Overview
We are seeking an energetic and detail-oriented Project Manager, Commercial Sales, for the post-award execution of large commercial lighting projects sold through a competitive bid process. This position works closely with the commercial sales team, electrical contractor customers, manufacturers, purchasing, and warehouse staff to accurately place orders, track lead times, coordinate releases, and make sure material ships in a timely fashion. The ideal candidate is highly organized, detail oriented, proactive, and able to manage multiple projects and deadlines while providing excellent customer service.
Duties:
Manage awarded commercial lighting and switchgear projects from order entry through final shipment and project closeout.
Review customer purchase orders and awarded quotations for accuracy, including quantities, catalog numbers, pricing, ship-to information, and project requirements before placing orders.
Place purchase orders with manufacturers and vendors accurately and promptly, and obtain order acknowledgements confirming pricing, quantities, lead times, and promised ship dates.
Track open orders, production schedules, backorders, and promised ship dates; proactively expedite critical or late material and communicate potential delays before they impact the customer.
Coordinate staged releases, direct shipments, warehouse shipments, and delivery schedules with electrical contractors, manufacturers, salespeople, purchasing, and warehouse personnel.
Maintain clear and timely communication with customers and the commercial sales team regarding order status, schedule changes, substitutions, shortages, shipping issues, and other project concerns.
Process and document project changes including add/deduct change orders, cancellations, returns, substitutions, and revised release instructions while maintaining accurate job records.
Assist with resolving shortages, damages, freight issues, incorrect shipments, and manufacturer discrepancies so replacement material or corrective action is handled quickly.
Maintain complete and accurate project documentation in the company system, including purchase orders, acknowledgements, ship dates, tracking information, backorders, correspondence, and closeout information.
Qualifications
Prior experience in electrical distribution, commercial lighting, construction project coordination, or a related field is strongly preferred.
Ability to understand and work from quotations, customer purchase orders, bills of material, manufacturer acknowledgements, release schedules, and project documentation.
Strong organizational, communication, interpersonal, problem solving, and time management skills with excellent attention to detail.
Must have a good overall software aptitude and be able to learn and become proficient in the company ERP/order management software and common desktop applications.
Ability to manage multiple large projects and changing priorities while remaining calm, responsive, and accountable under deadline pressure.
Must have the ability to work as a team player with Dulles colleagues, manufacturer representatives, and electrical contractor customers.
Customer-service mindset with the ability to identify problems early, follow through on commitments, and communicate professionally until issues are resolved.
