As our company continues to grow, we are looking for a motivated and organized Administrative Assistant to become an essential part of our team.
Position Overview
The Administrative Assistant will provide daily support to our office operations and project management team, ensuring that projects, documentation, and communication remain organized and efficient.
This position is ideal for someone who enjoys working in a fast-paced environment, is highly organized, has excellent communication skills, and takes pride in keeping operations running smoothly.
Responsibilities
- Provide administrative support to the office and management team
- Answer phone calls and respond to emails professionally
- Coordinate schedules, meetings, inspections, and appointments
- Maintain organized digital and physical project files
- Assist with preparing estimates, proposals, contracts, invoices, and other project documentation
- Communicate with clients, vendors, subcontractors, suppliers, and building management
- Track project progress and assist with administrative follow-ups
- Assist with purchasing materials and coordinating deliveries
- Update company records, spreadsheets, and internal systems
- Perform general office duties and provide support wherever needed
Qualifications
- Previous experience in an administrative or office support role
- Fluent in English (spoken and written) is required
- Spanish proficiency is highly preferred
- Excellent organizational and multitasking skills
- Strong written and verbal communication skills
- High level of professionalism and attention to detail
- Proficiency with Microsoft Office and Google Workspace
- Ability to work independently while also collaborating with a team
- Experience in construction, remodeling, interior design, or a related industry is a plus
