Job Overview
We are seeking an organized and professional Administrative Assistant to join our team. In this role, you will manage our front lobby, route high-volume phone calls, and provide critical administrative support to our project, preconstruction, and accounting teams. The ideal candidate has excellent communication skills, thrives in a fast-paced environment, and can confidently handle a diverse mix of clients, subcontractors, and field laborers.
Responsibilities
- Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate departments with professionalism and courtesy
- Handle front desk duties including greeting visitors, maintaining a welcoming environment, and managing visitor logs
- Perform data entry, assist in reviewing timecards, assist in lien/compliance tracking for projects.
- Sort and distribute daily mail, courier packages, and incoming project plans; handle outbound payments, shipments and certified mail.
- Assist the estimating team by routing incoming subcontractor bids and coordinating the prequalification process.
- Support office management activities such as filing, organizing supplies, and maintaining office equipment to ensure smooth daily operations
Requirements
- Proven clerical experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general computer literacy
- Excellent phone etiquette with the ability to handle multiple lines efficiently in a fast-paced environment
- Familiarity with office management practices including calendar management and client support
- Strong time management skills with the ability to prioritize tasks effectively
- Previous experience in customer service or front desk roles is preferred, experience in the construction industry is a plus
Pay: $55,000.00 - $65,000.00 per year
