About the Position:
This role is an on-campus, in-person position.
The Clinic Coordinator is a key administrative position within the SMU Center for Counseling, a community-based training clinic that provides affordable counseling services through graduate students in the Master’s in Counseling program.
The role is essential to the efficient operation of the clinic, serving as the primary administrative support for daily clinic functions, client services, and the coordination of clinic operations involving practicum students, clinical supervisors, and faculty.
The Clinic Coordinator helps ensure a high-quality client experience while supporting the educational and clinical training mission of the Center.
Essential Functions:
Coordinate and manage the clinical training lifecycle for counselors-in-training, including onboarding, orientation, clinical sequencing from pre-practicum through internship, and offboarding at the conclusion of each semester, supporting 100% counselor turnover each academic term (Spring, Summer, Fall). Create, update, manage, disseminate, train appropriate users of standard operating procedures.
Manage and/or supervise clinic scheduling system, clinic emails, client communication and correspondence, update client database, create student clinical sequence files, comply with ethically-appropriate processes on file handling and confidentiality, and execute administrative tasks assigned by Clinic Director.
As directed by Clinic Director, oversee and support administrative duties and assigned daily tasks for clinic interns and graduate assistants on administrative duties. Support clients and students in navigating and troubleshooting clinic administrative platforms. Train interns and graduate assistants on clinic administrative platforms.
Execute all clinic bookkeeping and accounting tasks for accounts receivable and conduct periodic accounting audits.
Maintain oversight of clinic facility, update clinic resources and library for clinical team, and update and fulfill office supply inventory.
Manage responsibilities related to clinic electronic/technological processes.
The hours of the role will be determined by the Clinic Director upon hire based on clinic needs. Evening availability for one evening per week is required; availability for two evenings is preferred. On occasion, the Clinic Coordinator may work to support department-sponsored events and university needs, which may occur during evenings or weekends.
Qualifications
Education and Experience:
Associate's degree is required, preferably in social sciences, humanities, business, and/or human resources. A Bachelor’s degree is preferred.
A minimum of two (2) years of customer service experience is required, preferably in office management and/or program operations. Experience working in medical or psychological office/clinic environments desired.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. The ability to de-escalate conflict is essential. Strong conflict resolutions skills and an ability to deescalate tense situations are essential.
Candidate must demonstrate the ability to work independently, take initiative and manage frequent interruptions in a fast-paced clinic. Must also be flexible and adapt quickly to changing priorities and needs. A strong customer service orientation is essential.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills with an ability to handle multiple simultaneous projects. The ability to effectively delegate tasks to the front desk team as instructed by the Clinic Director.
Candidate must have a strong working knowledge of Microsoft Office (particularly Outlook, Word, Excel, PowerPoint). Experience with and/or a strong knowledge of website development and maintenance preferred. Knowledge of PeopleSoft, preferred. A strong technical aptitude with the ability to learn new software quickly is essential.
Experience with purchasing (p-card) oversight budgeting and accounts payable functions desired.
