May coordinate research projects and conduct special studies to evaluate various rehabilitative programs in the department and within the overall objective of the department. May collect, evaluate, and prepare reports, if assigned to do so by the Director of Social Work.
Greet residents and family members who visit the Social Work Department, assess their needs, and direct them to the appropriate personnel or services.
Answer the Social Work Department’s main phone line in a professional manner, provide clear and accurate information, transfer calls to appropriate personnel, and take and relay detailed messages as needed. Monitor and respond to voicemail messages throughout the day in a timely manner.
Monitors and responds to email throughout the day, in a timely manner.
Plans, develops, and may conduct training programs to maintain proficiency of staff and use of new equipment and methods.
Assist residents who come to the Social Work Department to use the telephone with dialing the telephone numbers. Stay with the residents for the duration of the call, if they need assistance with scheduling appointments or answering questions from outside vendors.
Prepares mass mailings, obtain pre-postaged envelopes from the mailroom, prepare envelope labels in advance, ensure mailings are sent out on time.
Prepare and send invitation letters to residents’ family members to inform them of and invite them to care plan meetings. Some invitations will be distributed electronically via email.
Retrieves mail for the Social Work Department from the mailroom, sorts through the mail, delivers mail to the appropriate social work staff.
Maintain and update records; data entry and ensuring data integrity.
May be tasked with obtaining signatures from medical personnel or residents/families for forms.
Assist the Department of Social Work with writing letters.
Maintain the electronic medical record up to date with all memos and documents.
Assists with the processing of orders for requisitioning of equipment, prosthetic appliances, and medical supplies for residents. Orders supplies for the Social Work Department. Submits tickets for necessary work orders and follows up as necessary.
Ensures that ELM trainings are completed in a timely manner, in order to remain in compliance.
Ensures that compliance policies and procedures current and followed.
Submits catering requests and event set up requests, and follows up as necessary.
May be required to call residents/families/designated representatives to invite them to facility events, or may be asked to call residents/families/Guardians in order to complete surveys.
Supervises the office administration and office record keeping activities of the department.
May be required to periodically provide front desk coverage for other departments.
Performs other related tasks assigned by the Director of Social Work or their designee.
