Job Description
Better Behavioral is seeking a dependable, organized, and compassionate New Patient Medical Scheduler to join our behavioral health team in Evansville, Indiana.
This position plays an important role in a patient's first experience with our practice. The New Patient Medical Scheduler is responsible for helping new patients navigate the intake process, verifying insurance and eligibility, gathering required information and records, and scheduling patients with the appropriate provider.
This is a full-time, in-person position. Remote work is not available.
Primary Responsibilities
- Answer incoming calls and respond to new patient appointment inquiries
- Schedule new patient appointments with the appropriate provider
- Guide new patients through the registration and intake process
- Collect and verify patient demographic and insurance information
- Verify insurance eligibility and benefits using insurance portals and other available resources
- Complete pre-certification or authorization requirements when applicable
- Prepare and send required registration and intake forms
- Monitor incoming faxes, emails, referrals, and scheduling requests
- Follow up with prospective patients regarding outstanding paperwork, insurance information, payment requirements, or other items needed to complete scheduling
- Accurately document patient communication and scheduling information
- Maintain patient confidentiality and follow HIPAA requirements
- Communicate professionally and compassionately with patients while consistently following office policies and procedures
- Work closely with providers, front office staff, clinical staff, and management to ensure new patients are scheduled appropriately
- Perform additional scheduling, clerical, and administrative duties as needed

The ideal candidate is someone who can be compassionate with patients while also being comfortable explaining and enforcing office policies. Behavioral healthcare can involve patients who are frustrated, anxious, or experiencing difficult circumstances, so the ability to remain calm, professional, and solution-focused is extremely important.
This position also requires someone who can manage multiple responsibilities without losing attention to detail. Dependability and consistent attendance are essential to this role, as new patient scheduling directly impacts our patients, providers, and daily operations.
Qualifications
- High school diploma or equivalent required
- At least 1 year of medical office experience required
- Previous medical scheduling, registration, intake, or front-office experience strongly preferred
- Knowledge of medical insurance policies and procedures
- Experience using insurance portals to verify eligibility and benefits preferred
- Behavioral health or psychiatric office experience is a plus
- Strong computer skills, including Microsoft Word and Excel
- Excellent verbal and written communication skills
- Strong organizational and problem-solving skills
- Ability to prioritize tasks and manage multiple responsibilities in a busy environment
- Strong attention to detail and accuracy
- Ability to maintain patient confidentiality
- Ability to remain professional and composed during difficult patient interactions
- Conversational Spanish is preferred but not required
Physical Requirements
- Ability to sit or stand for extended periods
- Ability to bend, lift, and occasionally carry up to 25 pounds

We are looking for someone who understands that new patient scheduling is more than putting an appointment on a calendar. This role is often a patient's first interaction with Better Behavioral, and we need someone who can make that experience professional, efficient, compassionate, and welcoming.
Pay: $16.00 - $18.00 per hour
