Sandoval Family Law, PC is a law office specializing in family law matters including child custody, divorce, and marital agreements. Our firm has an opening for an office administrative assistant in our Austin office near downtown. Our ideal candidate would be a detail-oriented assistant with positive energy seeking to work full-time in a team-oriented environment.
Essential functions as Office Administrative Assistant:
- Managing daily office needs;
- Greet clients and visitors and offer beverage;
- Accurate collection, sorting, logging, and distribution of incoming and outgoing mail;
- Understand rates and offerings of our law firm;
- Understand how to handle and maintain client and potential client sensitive data;
- Maintain an adequate level of mail supplies, i.e. postage tape, ink, mailing envelopes, certified, registered, Express and priority supplies;
- Maintain and organize office supplies for the entire office; create and maintain filing systems, both electronic and physical;
- Maintain ordering and organize kitchen supplies, snacks, coffee, beverages;
- Responsible for maintaining and touch-up cleaning of the kitchen area and reception area of the office (to include keeping the fridge being cleaned out weekly, if needed)(the building has cleaning services for the entire office otherwise);
- Maintenance of coffee machine by descaling as needed;
- Responsible for conference room setups and conference room supplies as needed;
- Stock multi-function devices and printers with paper;
- Serve as back up support to legal assistant, if needed;
- Assist with coordination of repairs and service calls;
- Assist with entering and managing work orders submitted to the landlord;
- Understand emergency procedures; respond appropriately if emergency arises;
- Assist with clerical projects such as large mailings and file organization;
- Take calls from clients, vendors, and other parties and be able to take concise messages and/or transfer to intended recipient;
- Answer calls in both English and Spanish;
- Calendar appointments and important docketing.
Required Qualifications
Two years of clerical experience (legal experience is a huge plus). Excellent verbal and written communication skills in English. Ability to write and speak Spanish with some proficiency – legal terminology in Spanish is a plus. Outstanding organizational skills, attention to detail, and time-management skills. Demonstrates ability and willingness to work as a team member and independently. Punctuality and professional demeanor. Demonstrates initiative and follow-through skills. Some technical experience with the motivation to learn new software as needed. Proficiency with Microsoft Outlook and Microsoft Office programs to include Excel, Powerpoint, Word, and more.
