WHAT WE'RE LOOKING FOR
We are seeking a highly capable Executive Assistant to support the Co-Founder within the Office of the CEO. This is a high-trust, high-agency role at one of the country's fastest-growing AI companies.
The ideal candidate is a proactive, operationally-minded professional who thrives in fast-moving environments and can serve as both a skilled executor and a strategic support layer. You will embed yourself deeply in the Co-Founder’s world, attending key meetings alongside the Chief of Staff to build context, then translating that context into action. You'll own the Co-Founder’s calendar and inbox, drive project timelines, and step into cross-functional work that spans Product, Engineering, recruiting, and company-wide planning.
This role sits within the Office of the CEO and is as much about project ownership as executive support. You are not a passenger — you are a driver.
WHAT YOU'LL DO
-
Own and manage the Co-Founder’s calendar, inbox, and Slack, ensuring their time is protected and priorities are executed with precision
-
Attend meetings to absorb context that directly informs how you support the Co-Founder across overlapping priorities and cross-functional projects
-
Serve as the Co-Founder’s primary operational support layer, identifying what needs to get done, building a running task list, and sitting down with them regularly to move through it
-
Act as a trusted liaison between the Co-Founder and the broader organization, including the Office of the CEO, Product, Engineering, and external partners
-
Support recruiting coordination as a top organizational priority, reviewing inbound introductions, managing LinkedIn pipeline research, and ensuring warm contacts move forward quickly
-
Own project management for key initiatives: board prep, goals planning, weekly goals check-ins, team offsites, and all-hands preparation
-
Lead planning and logistics for the company's upcoming office move and ongoing culture and team-building efforts
-
Support recruiting events and assist Sales and Customer Experience with customer gifting and relationship-building touchpoints
-
Step in with flexibility and urgency as priorities shift, including being pulled into or out of meetings when more pressing needs arise, while also knowing when and how to push back and protect the Co-Founder’s time
WHAT YOU BRING
-
5+ years of Executive Assistant and Operations experience, ideally with exposure to both EA and project ownership work
-
Demonstrated experience as the DRI (Directly Responsible Individual) on a project — you've owned timelines, created deadlines, and driven things to completion
-
Strong project management instincts: you create structure where there is none and hold people, including executives, accountable
-
Exceptional organizational skills with the ability to context-switch quickly and stay composed under pressure
-
High degree of discretion, sound judgment, and comfort operating in a fast-growing, founder-led environment
-
Proven ability to manage up, knowing when to push back, how to ask the right questions, and how to protect focus without creating friction
-
Proficiency with Google Suite, Notion, Slack, and comfort learning new tools quickly; an AI-curious or AI-native mindset strongly preferred
-
Ability to work in-person in New York City aligned with executive schedules
EVEN BETTER
-
Experience supporting a C-suite executive or technical co-founder in a high-growth startup (Series A–C+ environment)
-
Familiarity with tools like Granola, Linear, HubSpot, or Rippling
-
Background that spans both EA and operational/generalist responsibilities, you've worn more than one hat, and you liked it
-
Comfort working within a broader executive support team, while owning an independent scope of work for your principal
