Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed
- Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
- Assist with office management duties such as supply ordering, calendar management, and organizing meetings or events
- Provide exceptional customer support by responding promptly to inquiries via phone or email and ensuring client satisfaction
- Perform clerical tasks including typing, photocopying, scanning documents, and maintaining organized filing systems
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation and collaboration
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent computer literacy with experience in office management software such as QuickBooks and data entry platforms
- Bilingual abilities are highly valued to assist diverse clients and team members seamlessly
- Demonstrated office experience with a focus on clerical and administrative functions
- Exceptional time management skills to handle multiple responsibilities efficiently
- Knowledge of phone etiquette and customer service best practices for professional communication
- Personal assistant or office support experience preferred, including calendar management and scheduling
