We are seeking a Payroll Tax Specialist to manage payroll tax administration, compliance, reporting, and reconciliation across federal, state, and local jurisdictions.
This role serves as the primary payroll tax subject matter expert and uses ADP Workforce Now (WFN) and ADP SmartCompliance to manage tax filings, notices, agency communications, employee tax compliance, and related processes. The position partners with Payroll, HR, Finance, HRIS, ADP, and government agencies to ensure accurate and timely compliance.

Key Responsibilities
- Manage federal, state, and local payroll tax processes using ADP Workforce Now and ADP SmartCompliance.
- Ensure accurate tax withholding, employee tax setup, taxability, and reporting across multiple jurisdictions.
- Manage and review quarterly and annual tax filings, including Forms 941, 940, W-2, W-2C, state unemployment, and local tax returns.
- Monitor payroll tax deposits and filing deadlines to ensure compliance.
- Research and resolve federal, state, and local tax notices, penalties, and account discrepancies.
- Coordinate with ADP and government agencies on tax account issues, registrations, and new jurisdiction setup.
- Perform monthly, quarterly, and annual payroll tax reconciliations and resolve discrepancies between payroll, tax filings, and the general ledger.
- Support internal and external audits by providing accurate documentation and reports.
- Serve as the payroll tax SME for ADP systems, including troubleshooting, testing updates, and year-end processing.
- Identify and implement process improvements that improve compliance, efficiency, and data accuracy.
- Support payroll projects, acquisitions, employee relocations, and multi-state tax compliance initiatives.
- Provide guidance to employees, managers, HR, and Payroll regarding payroll tax matters.
Qualifications
- 3–5+ years of payroll tax experience, preferably in a multi-state environment.
- Strong knowledge of federal, state, and local payroll tax regulations.
- Hands-on experience with ADP Workforce Now and ADP SmartCompliance preferred.
- Experience with payroll tax filings, reconciliations, tax notices, agency communications, and year-end reporting.
- Working knowledge of Forms 941, 940, W-2, W-2C, state unemployment, and local tax reporting.
- Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
- Ability to manage multiple deadlines and maintain confidential employee information.
- Strong written and verbal communication skills.
Preferred: CPP certification, multi-state payroll experience, payroll tax system implementation experience, and strong Excel/data analysis skills.

- 3 - 5+ years of payroll tax experience in a multi-state payroll environment.
- Hands-on experience with ADP SmartCompliance payroll tax services.
- Experience using ADP Workforce Now payroll and tax modules.
- Experience managing payroll tax notices, agency correspondence, and tax account registrations.
- Experience supporting payroll tax audits and reconciliations.
- Strong knowledge of federal, state, and local payroll tax laws and regulations.
- Working knowledge of wage and hour regulations impacting payroll taxation.
- Proficiency in Microsoft Excel, including reconciliation and reporting functions.
- Strong analytical, investigative, and problem-solving skills.
- Exceptional attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet critical deadlines.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive employee information.
Preferred
- Bachelor's in Accounting, Finance, Human Resources, Business Administration, or a related field.
- Experience with multi-state operations, remote workforce tax compliance, and tax registrations.
- Experience supporting mergers, acquisitions, or organizational expansion projects.
