We are a private firm seeking a highly capable, detail-oriented, and proactive professional to support a CFO in a family office setting across a broad range of operational, logistical, and coordination responsibilities. This is not a traditional administrative role—this position requires strong numerical fluency, independent judgment, and the ability to manage complex workflows with minimal oversight.
Key Responsibilities:
Operations & Coordination
- Coordinate activities across properties, aviation assets, and other family holdings
- Manage vendor relationships, contracts, billing, and service providers
- Track ongoing projects, deadlines, and deliverables across multiple domains
- Act as a central point of coordination
- Identify inefficiencies and help implement improved systems and processes
Financial Coordination & Oversight (Non-Analyst Role)
- Organize and review financial documents, statements, invoices, and reports for completeness
- Assist in monitoring budgets, expenses, and liquidity needs across various activities
- Coordinate with the financial analyst, accountants, and investment managers to ensure timely information flow
- Maintain structured records of capital calls, distributions, and major transactions
Administrative & Concierge Support
- Manage complex calendars, scheduling, and travel logistics
- Handle high-touch personal and family requests with efficiency and discretion
- Ensure seamless execution of day-to-day logistics across business and personal activities
Qualifications:
- Strong numerical comfort and attention to detail; able to work confidently with financial data
- Proven ability to work independently and manage priorities without constant direction
- Exceptional organizational and follow-through skills
- Advanced proficiency in Excel; able to build and maintain tracking systems
- Experience in a family office, professional services, or similarly complex environment preferred
- High level of discretion, professionalism, and judgment
