Overview
Join our dynamic CPA firm as an Administrative Associate, where you will play a key role in supporting our tax and administrative operations while helping maintain our commitment to accuracy, compliance, and exceptional client service.
In this position, you will assist with a variety of tax administration and accounting-related functions, helping to ensure the integrity of financial information, adherence to established procedures, and an efficient workflow throughout the tax preparation process. Your attention to detail, organizational skills, and proactive approach will contribute to streamlined operations and a positive client experience.
Job Description
- Submit and track electronic tax filings through various e-filing systems.
- Assemble, review, and distribute PDF tax returns to clients electronically.
- Scan, copy, and organize client documents while maintaining tax return activity records in Excel.
- Prepare client correspondence and electronic signature requests through tax software systems.
- Develop an understanding of federal, state, and local tax forms and filing requirements.
- Enter and process vendor invoices and other accounting-related data.
- Enter and maintain financial statement information, client records, and correspondence.
- Provide professional telephone support and communicate directly with clients.
- Assist staff with administrative tasks and special projects as needed.
- Schedule and coordinate client meetings via video conference and telephone.
- Perform other administrative and engagement-related duties as assigned.

- Proficiency in Microsoft Office, particularly Excel, Word, Teams, and Outlook and Zoom, DocuSign, etc..
- Excellent digital, verbal, and written communication skills.

- Professional demeanor with a strong commitment to client service.
- Ability to work independently while contributing effectively as part of a team.
- Experience with QuickBooks, tax software, or accounting-related systems is a plus.
Qualifications
- Bachelor's degree preferred; equivalent education and/or experience will be considered.
- Ability to work 40 hours per week, with additional hours during peak tax season, including evenings and weekends as needed.
- Strong computer skills, including proficiency in Microsoft Outlook, Word, Excel, and QuickBooks.
- Positive attitude and strong work ethic.
- Ability to adapt and thrive in a fast-paced environment.
- High level of integrity, dependability, trustworthiness, and attention to detail.
- Strong time management skills with the ability to prioritize workload and consistently meet deadlines.

Pay: $52,500.00 - $62,500.00 per year
