Job Description
The Director of Parish Operations supports the Pastor and leads the staff of St. John Fisher Parish by overseeing the parish’s physical, financial, and human resources, ensuring that all initiatives and administrative functions operate efficiently. As a committed person of faith who upholds Catholic values and demonstrates responsible stewardship, the Director of Parish Operations fulfills an essential role in helping the parish fulfill its mission.
The director is responsible for managing parish business affairs, overseeing financial stewardship, and assisting the pastor with staff leadership. This individual will serve as the primary liaison between St, John Fisher Parish and the Office for Parish Service and Support (OPSS) of the Archdiocese of Philadelphia, which provides accounting services. This role requires professional expertise in multiple areas- such as organizational leadership, human resources, and facilities management- as well as strong business and financial acumen. The Director must have effective independent judgment, organization, and leadership abilities.
Primary Responsibilities
- Provide executive leadership and supervision for parish staff, reporting directly to the Pastor
- Manage day-to-day parish operations, leading all business initiatives and supporting the Pastor in the oversight of these initiatives
- Collaborate with OPSS on the tracking, implementation, and management of all parish finances
- Work with the Finance Council and Director of Maintenance and Building and Grounds Committee to develop and execute short- and long-term maintenance plans for parish buildings and property
- Oversee major maintenance projects, capital campaigns, and ongoing initiatives
Human Resources Management
- Create and maintain personnel files
- Maintain employee job descriptions in collaboration with the Pastor
- Track sick days and paid time off (PTO)
- Collect and report employee timesheets to OPSS weekly
- Administer all employee benefits, including health, dental, vision, disability leave, vacation, sick leave , FMLA, and workers’ compensation
- Assist the Pastor with recruitment, hiring, staff counseling, terminations, and restructuring
- Support implementation of personnel polices as directed by the Pastor and Archdiocese
- Conduct or assist with periodic staff meetings, one-on-ones , and evaluations
- Research and make recommendations on salaries and benefits as needed
- Oversee Safe Environment and be sure that the parish is in compliance with all staff and volunteers. Accurate records must be kept and updated as needed
Fiscal Management
Work collaboratively with the Administrative Assistant to execute the following tasks:
- Oversee all collections, including Sunday offerings, second collections, online giving, and all other donations
- Establish and supervise counting teams, ensuring proper protocols
- Ensure timely deposit and reporting to OPSS
- Submit all invoices, bills, and financial documents to OPSS with appropriate documentation and payment
- Assist OPSS with monthly reconcilements and other banking tasks
- Improve and standardize office procedures for expenses, reimbursements , and approvals
- Schedule quarterly Finance Council meetings, coordinate OPSS participation and serve as council secretary
- Support OPSS in preparing the annual parish budget
- Assist in donor correspondence , donor inquiries, and annual Parish Appeal coordination
- Collaborate with the Pastor and Finance Council to publish quarterly and year-end financial reports to the parish
Office & Facilities Management
- Work collaboratively with all parish staff and the Pastor
- Coordinate with the Director of Maintenance for all Parish rentals and facility contracts
- Oversee scheduling of the front office staff
- Oversee parish facilities, maintenance contracts, and grounds in partnership with the Director of Maintenance
- Manage parish technology systems, including network access and password controls
Other Duties
- Collaborate with the Director of Maintenance to maintain parish property and infrastructure
- Build and maintain effective working relationships with the Pastoral and Financial Councils
- Meet regularly with the Pastor and participate in Council and Archdiocesan meetings as appropriate
Candidate Profile
The candidate should be/exhibit:
- An active, practicing Catholic with a deep love for the Church and a desire to serve her mission
- Friendliness, integrity, and commitment to Christian character
- Knowledgeable in business administration, human resources, finance, accounting, Ideally with a Bachelor’s Degree is these or similar fields
- An understanding of the dynamics of parish life and the relationship of a parish to the Archdiocese of Philadelphia
- Broad knowledge of property management, including building and grounds upkeep, local ordinances, and taxes
- Robust financial acumen: must be able to understand and communicate budgets, capital campaigns, giving trends, retirement plans and the like
- Skilled in executive administration, decision-making, delegation of tasks, organization and conflict resolution
- Strong leadership, communication, and teamwork skills, with eagerness to lead by example and drive interpersonal growth
- Time management and organizational skills with a proven ability to meet deadlines
- The ability to work professionally and collaboratively with the Pastor and all staff
- A high degree of comfort with digital tools: most tasks are done through MS Office, the internet, or the SJF network
Relevant Experience
- Has a minimum of 3 years’ experience in relevant fields
- Is committed to professional development in the diocesan context
- Must be in full compliance with the Diocesan Child and Youth Protection Policy
Salary and Benefits
- This is a twelve (12) month position- 30 hours or full time
