As we continue to grow, we're looking for an experienced Dispatch Supervisor to lead our dispatch team and keep our operations running with precision and consistency.
Position overview
The Dispatch Supervisor is a key leadership role within the Operations Department, responsible for overseeing daily dispatch functions and ensuring consistency, efficiency, accuracy, and accountability across all dispatch operations. This position serves as both a hands-on leader and a resource for the dispatch team — setting expectations, establishing best practices, and upholding the standard of "Right Vehicle, Right Chauffeur, Right Execution."
Primary responsibilities
Scheduling oversight
- Manage and oversee scheduling for trip activity
- Create, maintain, and adjust the weekly Dispatch Schedule to ensure proper coverage and efficiency
- Anticipate operational needs and make proactive scheduling decisions; provide feedback to management to improve efficiency
Daily dispatch management
- Actively monitor all daily dispatch activity to ensure alignment with company standards and the Dispatch Efficiency Strategy
- Enforce proper geographic dispatching — assigning the right chauffeur and appropriate equipment to every reservation
- Maintain a clean, accurate, and fully updated dispatch board at all times; ensure no reservation is overlooked or unmanaged
- Serve as the primary point of contact for chauffeurs and dispatchers during assigned shifts, resolving issues quickly and professionally
- Communicate with clients and affiliates regarding trip status, delays, and special requests
Chauffeur distribution & fairness
- Regularly review chauffeur trip assignments and earnings to ensure a fair and balanced distribution of work across the team
- Identify and address workload imbalances or inconsistencies; partner with management to maintain fairness while supporting efficiency
Availability & coverage management
- Monitor and manage the availability email inbox for specialty vehicle availability; ensure all updates are accurately reflected in the dispatch system
- Communicate coverage gaps and scheduling concerns in a timely manner; coordinate with dispatchers and management to maintain proper coverage
Team leadership & continuous improvement
- Mentor and support dispatchers to improve performance, confidence, and consistency; reinforce accountability and adherence to established standards
- Identify opportunities for operational improvement and communicate solutions to management; assist in standardizing dispatch processes across the department
- Lead by example with organization, urgency, professionalism, and attention to detail
- Assist in developing future initiatives, including dedicated shuttle dispatch and an Out-of-Town Dispatch Desk to oversee affiliate farmout reservations
- Maintain trip logs, manifests, and driver records accurately in the reservation system
- Coordinate with the maintenance team to report vehicle issues and minimize downtime
What we're looking for
- 5+ years of dispatch experience in limousine, black car, taxi, or ground transportation (required)
- 1+ year in a supervisory or lead dispatcher role (preferred)
- Proficiency with dispatch / reservation software (e.g., Santa Cruz, Limo Anywhere, Ground Alliance, Fasttrak)
- Strong multitasking and problem-solving skills — calm under pressure in a fast-paced, 7-day operation
- Proven ability to lead a team with fairness, consistency, and accountability
- Excellent verbal and written communication skills; professional phone and email manner
- High school diploma or equivalent required; associate's or bachelor's degree a plus
- Flexible availability including nights, weekends, and holidays
- Knowledge of local geography and airport/hotel operations preferred
