Estimating Coordinator
Avon Contractors, a leading commercial drywall subcontractor, is expanding its estimating department and seeking a highly organized and motivated Estimating Coordinator to join our team. This role offers a unique opportunity to work within a successful estimating department while working directly with company leadership and experienced estimators.
We are looking for an ambitious, detail-oriented, and organized professional who is interested in developing a career in commercial construction and estimating. The Estimating Coordinator will be responsible for managing incoming bid invitations, tracking upcoming and outstanding proposals, communicating with general contractors, and providing administrative and estimating support to the estimating department.
Construction estimating experience is not required. We are willing to train the right candidate. Recent graduates with backgrounds in engineering, construction management, architecture, or related fields are encouraged to apply. The ability to read construction drawings is a plus.

Key Responsibilities:
- Bid Invitation Management: Receive, review, and organize all invitations to bid from general contractors.
- Bid Tracking: Maintain an accurate and up-to-date tracking system for all upcoming, active, and outstanding bid opportunities.
- Bid Follow-Up: Follow up with general contractors regarding upcoming bids, outstanding proposals, bid deadlines, and project status.
- General Contractor Communication: Answer phones and respond to questions regarding upcoming bids, project information, deadlines, and proposal status.
- Bid Coordination: Ensure the estimating team has all necessary drawings, specifications, addenda, bid forms, and other project information required to prepare proposals.
- Deadline Management: Monitor bid due dates and proactively communicate upcoming deadlines to the estimating team.
- Estimating Support: Assist estimators with minor estimating responsibilities, including organizing project information, reviewing drawings, performing basic takeoffs, and other tasks as needed.
- Document Management: Maintain organized files for bid invitations, drawings, specifications, proposals, correspondence, and other project documentation.
- Proposal Tracking: Track submitted proposals and assist with follow-up and communication with general contractors after bids have been submitted.
- Relationship Management: Help maintain strong relationships with general contractors through professional, timely, and consistent communication.
- Administrative Support: Provide general administrative and organizational support to the estimating department and company leadership.
- Department Coordination: Work closely with estimators and company leadership to ensure all bid opportunities are properly tracked and followed through from invitation through proposal submission.
Qualifications:
- Highly organized and detail-oriented with the ability to manage multiple projects and deadlines.
- Ambitious, motivated, and eager to learn about commercial construction and estimating.
- Excellent verbal and written communication skills.
- Strong follow-up skills and the ability to stay on top of outstanding tasks and deadlines.
- Ability to communicate professionally with general contractors, subcontractors, vendors, and internal team members.
- Proficiency with Microsoft Office, including Outlook, Excel, and Word.
- Ability to learn new software and estimating systems.
- Construction experience is not required, although experience in construction, estimating, administration, customer service, or project coordination is a plus.
- Ability to read and understand construction drawings is a plus.
- Recent graduates with backgrounds in engineering, construction management, architecture, or related fields are encouraged to apply.
- Strong work ethic and ability to thrive in a fast-paced environment.
- Ability to work independently, take initiative, and proactively follow up on outstanding items.
- Strong attention to detail and a commitment to accuracy.
- Must be comfortable speaking with general contractors and asking questions when information is unclear or incomplete.
This is a full-time, in-office position based in Wall Township, NJ.
