Job Summary
The primary role of the Accounts Specialist is supporting clients by ensuring accuracy in payroll, payment management, and maintaining up-to-date billing records while addressing client inquiries, resolving discrepancies efficiently, and assisting with administrative needs as required. This position will collaborate on client management, strategic planning, oversee the preparation of booking & payroll statements, build strong client relationships, manage multiple projects, provide mentorship to junior staff, and ensure smooth operations and high client satisfaction.
Duties
- Processes payroll for clients using various payroll platforms with meticulous attention to detail.
- Manages effective client bookkeeping, reporting, and billing.
- Processes sales tax, CAT Tax, 1099s, and payroll return preparation.
- Operates independently, communicates directly with clients, and completes tasks efficiently.
- Conducts outbound calls to clients to address inquiries and provide timely updates on account status.
- Delivers exceptional client service by addressing needs and resolving issues promptly.
- Supports sales efforts by identifying and pursuing opportunities for upselling and cross-selling services.
- Maintains accurate records of client interactions, transactions, and feedback in the office database.
- Provides accurate bookkeeping services, including bill payments, invoicing, and maintaining financial records.
- Prepares and reviews financial statements, reports, and analyses to deliver actionable insights and identify trends, variances, and opportunities for improvement.
- Enters detailed notes and billing into operating platforms daily to maintain accurate client records.
- Collaborates with internal teams across accounting, tax, and advisory functions to ensure smooth service delivery.
- Trains staff, participates in peer reviews, and contributes to team development.
- Manages client billing, ensuring accuracy and timely delivery of invoices.
- Manages a portfolio of clients, serving as the primary contact and overseeing their accounting and financial needs comprehensively.
- Builds proactive relationships with clients, staff, and the local community.
- Organizes multiple projects to meet deadlines and exceed client expectations.
- Assists with general administrative processes and contributes to efficient office operations.
- Performs other duties as assigned.
Requirements
- Degree in Accounting preferred or 3+ years of experience
- 1+ years of AR/AP preferred
- 1+ years of public accounting experience preferred
- 1+ year of QuickBooks experience
- 1+ year payroll experience
Skillsets
- Platform experience in Practice, GoFile Room, ADP, Thomson Reuters preferred
- Possesses a strong bookkeeping background, including proficiency in QuickBooks Online and QuickBooks Desktop.
- Attention to detail and organization, with a high level of accuracy.
- Ability to work effectively both independently and as part of a collaborative team.
- Proven ability to manage multiple projects and deadlines in a fast-paced environment.
- Strong knowledge of tax laws, accounting principles, and financial analysis.
- Familiarity with tax preparation, compliance, and financial reporting.
- Expertise in accounting software and Microsoft Office suite.
- Savvy with technology and the ability to learn in-house programs and tools.
- Strong communication skills with clients and team members.

Pay: $44,000.00 - $55,000.00 per year
