Responsibilities
- Answer multi-line phone systems promptly and professionally, directing calls efficiently to the appropriate departments or personnel
- Greet visitors at the front desk with warmth and professionalism, managing check-in procedures and ensuring a welcoming environment
- Manage office management tasks such as filing, data entry, calendar management, and maintaining organized records using Microsoft Office, Google Workspace, and other office tools
- Support administrative functions including proofreading documents, handling correspondence, and performing clerical duties to keep daily operations running smoothly
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses, invoices, and payments
- Provide excellent customer support by addressing inquiries via phone or email, resolving issues promptly, and maintaining positive relationships
- Maintain a tidy front desk area and ensure all office supplies are stocked and organized for maximum efficiency
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a busy office environment
- Experience with multi-line phone systems and phone etiquette that conveys professionalism and friendliness
- Bilingual abilities are a plus to serve diverse customer needs effectively
