Job Summary
We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. This role is essential for ensuring smooth office operations and providing exceptional customer service. The ideal candidate will possess strong communication skills, be proficient in various office management tasks and QuickBooks software, and have experience with multi-line phone systems. Responsibilities
- Manage a multi-line phone system, directing calls appropriately and taking messages as needed
- Provide administrative support including data entry, filing, and calendar management
- Maintain office organization through effective clerical tasks and office management
- Assist with estimates through QuickBooks as necessary
- Utilize Microsoft Office for document preparation, proofreading, and correspondence
- Handle customer support inquiries with a focus on providing excellent service
- Perform typing tasks accurately and efficiently, ensuring attention to detail in all communications
- Manage appointment scheduling for staff and maintain an organized calendar
Experience
- Previous experience as a receptionist or in an administrative role is preferred
- QuickBooks proficiency
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to manage multiple tasks simultaneously
- Excellent phone etiquette and customer service skills are essential
- Bilingual (English and Spanish) abilities are highly desirable to assist diverse clientele
- Experience in clerical duties such as data entry, filing, and calendar management is beneficial
