Job Summary
Construction Project Coordinator / Office Administrator
Lombardozzi Construction LLC
Media, PA 19063
$25–$35/hour | Full-Time | Monday–Friday | In Person
About the Opportunity
Lombardozzi Construction LLC is a growing residential remodeling contractor serving Delaware County and the surrounding area.
We are looking for an organized, proactive Construction Project Coordinator / Office Administrator who wants to become an important part of how our company operates.
This is not simply a data-entry or bookkeeping position. You will work directly with company ownership to help keep projects organized, maintain accurate information, support customers and vendors, assist with bookkeeping, and improve the day-to-day flow of the office.
As you become familiar with our systems and operations, we want this role to grow into greater ownership of project coordination and office processes.
If you enjoy keeping things organized, solving problems, learning new systems, and being the person others can rely on to keep things moving, we’d like to hear from you.
What You’ll Do
Project & Office Coordination
- Maintain accurate project information, schedules, documents, and updates in JobTread.
- Assist with project setup and ongoing project administration.
- Help coordinate communication between ownership, field teams, customers, vendors, and subcontractors.
- Track customer selections, project documents, and other information needed to keep jobs moving.
- Maintain organized digital and physical project files.
- Assist with scheduling updates and upcoming project needs.
- Help ensure information needed by the field team is accurate and available.
- Follow up on routine administrative and project-related items without requiring constant direction.
- Identify missing information or potential issues before they become larger problems.
Bookkeeping & Financial Administration
- Maintain accurate records in QuickBooks.
- Assist with accounts payable and accounts receivable.
- Enter and organize receipts, invoices, expenses, and other financial documentation.
- Assist with bank and credit card reconciliations.
- Support payroll administration and payroll recordkeeping.
- Help maintain accurate project cost information.
- Assist management with job-cost, profitability, billing, and other financial reports.
- Maintain organized and accessible financial documentation.
- Work with ownership and outside accounting professionals as needed.
Process & System Support
- Learn and maintain company procedures within JobTread and QuickBooks.
- Help document recurring office processes as the company continues to improve its systems.
- Identify opportunities to improve organization, communication, and workflow.
- Take increasing ownership of routine office and project coordination responsibilities as proficiency develops.
- Help create an office environment where information is accurate, organized, and easy to find.
What Success Looks Like
A successful person in this role will become someone ownership can trust to keep the administrative side of projects organized and moving forward.
Over time, success will mean:
- Project information is accurate and current.
- Customers, vendors, and field employees receive timely communication.
- Financial records and documentation stay organized.
- Routine office questions and tasks are handled independently.
- Important deadlines and follow-ups are not missed.
- Ownership spends less time tracking down information and handling routine administrative issues.
- Problems are identified early and communicated clearly.
- Office processes become more consistent as the company grows.
What We’re Looking For
Required
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities without losing track of important details.
- Professional written and verbal communication skills.
- Comfortable learning new software, systems, and processes.
- Ability to work independently and follow through on assigned responsibilities.
- Comfortable working directly with company ownership in a small-business environment.
- Experience in office administration, project coordination, bookkeeping, accounting support, or a similar role.
- Working knowledge of QuickBooks or comparable accounting software.
- Basic proficiency with Microsoft Office, including Excel, Word, and Outlook.
Preferred, But Not Required
- Experience working for a construction, remodeling, trades, or service-based company.
- Construction project coordination experience.
- Job-costing experience.
- Accounts payable/accounts receivable experience.
- Payroll experience.
- Advanced QuickBooks experience.
- Experience using construction management or CRM software.
- JobTread experience.
Previous JobTread experience is not required. We are willing to train the right candidate.
Who Would Be a Good Fit?
This role may be a good fit if you:
- Like bringing organization to a fast-moving environment.
- Are comfortable asking questions while learning but can become increasingly self-sufficient.
- Enjoy solving problems rather than simply identifying them.
- Like working with both people and systems.
- Can communicate professionally with customers, vendors, and employees.
- Want an opportunity to take on greater responsibility as you learn the business.
- Prefer being an important part of a smaller growing company rather than one person inside a large corporate department.
Construction experience is helpful, but we place significant value on organization, reliability, communication, problem-solving, and the ability to learn.
