Job Title: Procurement Specialist
Position Type: Full-Time, on-site in Elmhurst, IL
Role Overview:
This role will be responsible for sourcing, purchasing, tracking, and managing IT hardware and mobility assets for both internal operations and client environments. This role requires strong communication skills, attention to detail, vendor coordination experience, and the ability to manage multiple procurement workflows simultaneously.
This individual will work directly with enterprise clients and serve as a key point of contact throughout the procurement and fulfillment process. The ideal candidate understands IT hardware procurement, mobility lifecycle management, inventory coordination, and client facing operational support.
Responsibilities:
Procurement & Purchasing Operations
- Manage procurement of laptops, desktops, mobile devices, tablets, accessories, and IT hardware
- Coordinate purchasing activities with vendors, carriers, distributors, and OEM partners
- Create and manage purchase orders, quotes, renewals, and order tracking
- Assist with vendor negotiations, pricing comparisons, and procurement optimization
- Ensure procurement activities align with company and client policies
Client Communication & Relationship Management
- Serve as a direct point of contact for clients regarding:
- Order status updates
- Shipping timelines
- Back orders and delays
- Device availability
- Procurement escalations
- Deployment coordination
- Communicate proactively with clients to ensure high service levels and transparency
- Support client onboarding and fulfillment initiatives
Inventory, Asset, & Lifecycle Management
· Monitor inventory levels and maintain accurate asset records
· Support hardware lifecycle management including:
o Deployment
o Refreshes
o Returns
o Disposal coordination
· Maintain documentation and reporting within procurement and asset management systems
Logistics, Tracking & Fulfillment
· Track procurement timelines, shipping status, back-orders, and escalations
· Coordinate with carriers and logistics partners to ensure timely delivery
· Support fulfillment workflows tied to client deployments and onboarding
Cross‑Functional Collaboration
· Work closely with sales, operations, finance, and support teams
· Align procurement activities with internal processes and client requirements
Process Improvement & Optimization
· Help identify process improvements and automation opportunities
· Contribute to continuous improvement of procurement and asset workflow
Qualifications:
· 3+ years of IT procurement, hardware purchasing, or technology sourcing experience
· Experience purchasing: Laptops and desktops, Mobile devices, tablets and accessories & IT peripherals and networking hardware
· Familiarity with ServiceNow, NetSuite (ERP), asset management and inventory systems
· Understanding of the mobility industry, lifecycle management and telecom environments preferred
· Strong Excel and reporting skills
· Excellent organizational and follow-up abilities
· Experience communicating directly with clients and managing procurement-related expectations
· Ability to manage multiple priorities in a fast-paced environment
