Position Summary:
The Front Desk Coordinator at the Integrated Center for Child Development (ICCD) serves as the initial point of contact for patients and families at both the Newton and Canton offices. This position is responsible for providing professional and compassionate customer service, coordinating front office operations, and supporting clinical staff by ensuring efficient patient flow and accurate administrative processes. The role requires travel and time split between both office locations.
Key Responsibilities:
- Greet patients and families in a courteous, professional, and compassionate manner upon arrival and departure at both Newton and Canton offices.
- Confirm appointments with patients/guardians via phone, text, or email in accordance with practice protocols.
- Schedule, reschedule, and cancel appointments across departments
- Perform insurance eligibility and benefits verification prior to patient appointments.
- Collect co-payments, deductibles, and outstanding balances at the time of service; accurately process payments and issue receipts.
- Maintain and update patient records in the electronic health record (EHR) system, ensuring accuracy and confidentiality.
- Answer incoming calls, respond to inquiries, and route messages to appropriate clinical and administrative staff.
- Coordinate with clinical providers regarding patient flow, scheduling needs, and urgent requests.
- Manage daily front desk operations, including opening and closing procedures, and maintain a clean and welcoming reception area at both locations.
- Assist with administrative tasks such as scanning, faxing, copying, and filing as needed.
- Adhere to HIPAA and all practice policies regarding patient privacy and data security.
- Participate in ongoing training and quality improvement initiatives as required.
- Travel between Newton and Canton offices as scheduled and as needed to ensure coverage and support.
Qualifications:
- High school diploma or equivalent required; associate’s degree or relevant certification preferred.
- Prior experience in a healthcare front office or pediatric setting strongly preferred.
- Knowledge of insurance verification, patient billing, and payment collection processes.
- Proficient in electronic health records (EHR) and practice management software.
- Excellent communication, interpersonal, and organizational skills.
- Ability to multitask, prioritize, and adapt in a fast-paced, multidisciplinary environment.
- Demonstrated commitment to providing high-quality, family-centered service.
- Reliable transportation and ability to travel regularly between Newton and Canton offices.
