Job Summary
We are a local CPA firm seeking a dependable and experienced Payroll and Bookkeeping Specialist to join our team. This position may be structured as either part-time or full-time, depending on the candidate’s experience and availability.
The ideal candidate will be organized, detail-oriented, comfortable working with multiple clients, and knowledgeable about payroll processing, bookkeeping, and California payroll requirements.
Payroll
- Process weekly, biweekly, semimonthly, and monthly payroll for multiple business clients.
- Review employee hours, salary amounts, pay rates, deductions, reimbursements, and payroll changes.
- Prepare and submit federal and California payroll tax deposits.
- Prepare quarterly and annual payroll tax returns, including:
- Form 941
- Form 940
- California DE 9 and DE 9C
- Forms W-2 and W-3
- Forms 1099 and 1096
- Process new hires, terminated employees, direct deposits, wage garnishments, and other payroll deductions.
- Complete California new-hire reporting.
- Maintain accurate payroll records and meet all filing and payment deadlines.
- Assist with IRS, EDD, and other payroll-related notices.
- Prepare payroll reports for clients, workers’ compensation audits, and other reporting needs.
- Communicate professionally with clients regarding payroll hours, employee changes, deadlines, and missing information.
Bookkeeping
- Perform monthly and quarterly bookkeeping for business clients.
- Enter and categorize bank and credit card transactions.
- Prepare bank and credit card reconciliations.
- Maintain general ledger accounts and supporting documentation.
- Assist with accounts payable and accounts receivable.
- Prepare profit-and-loss statements, balance sheets, and other financial reports.
- Review client books for errors, duplicate transactions, uncategorized items, and unusual balances.
- Perform bookkeeping cleanup and year-end preparation.
- Communicate with clients regarding missing documents and bookkeeping questions.
Qualifications
- Prior payroll and bookkeeping experience is required.
- Knowledge of California payroll laws and payroll tax requirements.
- Experience preparing payroll tax returns and payroll deposits.
- Experience with QuickBooks Desktop and/or QuickBooks Online.
- Strong computer and Microsoft Excel skills.
- Ability to work accurately while managing multiple clients and deadlines.
- Strong organizational, communication, and problem-solving skills.
- Ability to protect confidential payroll, tax, and financial information.
- Experience working in a CPA firm, accounting firm, payroll company, or bookkeeping office is preferred.
- Payroll or QuickBooks certifications are helpful but not required.

Schedule
The position may be part-time or full-time depending on the applicant’s qualifications, experience, and availability. Additional hours may be required during busy payroll periods, quarterly filing deadlines, and tax season.
Pay: $22.00 - $40.00 per hour
