Administrative Assistant

We are hiring a sharp, detail-oriented Administrative Assistant/Transaction Coordinator to support our operations across South Florida. This is a fast-paced, high-performance environment that requires someone who can operate independently, move quickly, manage multiple priorities, and take ownership without close supervision. We are looking for someone who figures things out, pays attention to details, and does not need to be told the same thing twice.
Responsibilities
- Prepare and deliver CMAs, listing presentations, and marketing packages with accuracy and speed
- Coordinate all aspects of real estate transactions from contract to closing
- Prepare, review, and manage contracts, disclosures, and closing documents
- Maintain accurate transaction files and records using Google Workspace and Microsoft Office
- Communicate with clients, agents, lenders, title companies, escrow officers, and vendors to ensure transactions stay on track
- Schedule inspections, appraisals, closings, meetings, and other appointments while managing calendars and deadlines
- Handle administrative and operational tasks across the team
- Support leadership and office operations as needed
- Perform data entry, filing, document management, and proofreading for accuracy
- Provide exceptional client service and maintain professional communication at all times
Qualifications
- Minimum 5 years of Florida real estate experience
- Minimum 5 years of transaction coordination experience
- Strong proficiency preparing CMAs
- Excellent organizational and time-management skills
- Exceptional attention to detail
- Strong written and verbal communication skills
- Proficient in Microsoft Office Suite and Google Workspace
- Self-sufficient, proactive, and highly accountable
- Ability to prioritize and manage multiple deadlines in a fast-moving environment

Pay: $70,000.00 - $90,000.00 per year
