Position Summary
The registrar is responsible for maintenance of all attendance and academic records, both paper and electronic, for the student body.
Responsibilities:
Responsible for collecting and maintaining accurate student records for the school, providing excellent customer service for the students, Directors and Management:
Create/Manage/Communicate/Distribute:
o Manage and distribute daily sign in Sheets for classes (Changes per Module)
o Enroll new students as they orientate for programs
o Absentee Reports on Excel and Campus
o Daily, Weekly, Monthly Attendance reports
o Change students’ status to LOA, Drop, and Graduate in Campus system
o Actives student spreadsheet (distribute to directors on weekly basis)
o Contact Absent Students daily to help with Retention
o Grade sheets (distribute grade sheets to instructors, collect from instructors, follow-up on any pending or missing grades, input grades in Campus system in a prompt manner and inform directors of any instructor not turning in grades/attendance)
o Spreadsheet of Campus management issues (distribute to DOE and manager of Campus Vue)
o Graduate log to track Graduation Packs submitted to F.A. and perfect attendance for Directors
o Create Graduation packets for students, ensure these files are collected and retained by financial aid in a timely manner.
o Manage transcript requests
Notifies instructors/directors of upcoming graduations at least one week prior.
Ensures data Entry of grades and daily attendance/absences
Supply Directors with Attendance reports and GPA’s for awards and inquiries from students
Answer customer service questions, advise students of owed make up hours, directors information, Child Care / Insurance / Verifications of hours and Graduates
Manage Attendance Warning Letters/Probation for V.N. and all other educational programs
Displays tenacity in maintaining accurate and detailed student records. Works to ensure all information is inputted into RGM and Campus Vue systems correctly.
Communicates
o Advises Directors of incomplete or failing grades. Follows-up to ensure directors are aware that students have incomplete or failing grades
o Advises directors of any students that have poor attendance (habitually absent, ie: more than 3 absences in any one module). Provide e-mail and phone call to director to ensure the director is following up with those students
o Coordinates graduation presentations with program directors
Maintain supplies for Grad packs
Other duties as assigned
Qualifications
- Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
- Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
