seeking an experienced Administrative & Financial Manager to oversee the day-to-day administrative and financial operations of our assisted living community. This position is ideal for a highly organized professional with experience in office management, accounting, payroll, and human resources who thrives in a collaborative, resident-focused environment.
Responsibilities
- Oversee the daily operations of the business office, ensuring efficiency, accuracy, and compliance.
- Manage accounts receivable, accounts payable, billing, collections, payroll, and employee records.
- Ensure timely and accurate completion of resident financial documentation, including Medicaid, Special Assistance (SA), SSI, VA benefits, PCS referrals, and other required paperwork.
- Process payroll and partner with corporate leadership to resolve payroll-related questions and issues.
- Prepare monthly private-pay invoices and ensure all resident payments are accurately posted.
- Complete bank reconciliations, resident trust fund accounting, petty cash management, and other financial reporting responsibilities.
- Maintain accurate records using Microsoft Excel and other company systems.
- Collaborate with the Operations Manager and department leaders to ensure efficient day-to-day operations and excellent service for residents and their families.
Qualifications
- Minimum of 2 years of business office or administrative experience with financial and operational responsibilities.
- Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred.
- Experience with accounts receivable, accounts payable, payroll, billing, and office administration required.
- Previous experience in assisted living, healthcare, or Adult Care Homes strongly preferred.
- Knowledge of Medicaid funding, Adult Care Home regulations, Special Assistance (SA), SSI, and VA benefits is a plus.
- Strong proficiency in Microsoft Office, particularly Excel. Experience with pivot tables is preferred.
- Excellent organizational, written, verbal, and interpersonal communication skills.
- Ability to prioritize multiple responsibilities while maintaining accuracy, professionalism, and confidentiality.
