We are seeking a dynamic and highly organized Construction Office Manager to lead the administrative operations of our construction projects. Duties
- Oversee daily office operations, including managing multi-line phone systems, calendar scheduling, and front desk responsibilities to ensure smooth workflow.
- Coordinate project documentation, filing systems, and record-keeping to maintain organized project files and compliance with company standards.
- Supervise administrative staff and provide training & development opportunities to enhance team performance.
- Manage vendor relationships, including negotiating contracts, tracking deliveries, and ensuring timely procurement of supplies and services.
- Handle human resources functions such as payroll processing via QuickBooks, employee onboarding, and maintaining personnel records.
- Assist with budgeting and bookkeeping tasks related to construction projects to ensure financial accuracy and accountability.
- Support event planning for company meetings or project milestones, ensuring all logistics are handled efficiently.
- Maintain effective communication with project managers, clients, vendors, and team members to facilitate clear information flow.
- Implement office management best practices to improve efficiency and productivity across all administrative functions.
Qualifications
- Proven experience in office management within a construction or related industry environment.
- Strong supervisory experience with the ability to lead and motivate administrative teams.
- Proficiency in QuickBooks for payroll, bookkeeping, and financial management tasks.
- Excellent schedule management skills with the ability to prioritize multiple projects simultaneously.
- Demonstrated vendor management capabilities including contract negotiation and relationship building.
- Knowledge of human resources processes such as onboarding, payroll administration, and employee records management.
- Experience with event planning, calendar coordination, filing systems, and front desk operations.
- Exceptional communication skills paired with organizational prowess to handle clerical tasks efficiently.
- Familiarity with medical office or general office procedures is a plus but not required.
