Office Manager / Dispatcher
Location: San Antonio, TX
IAQ Experts is seeking a reliable and organized Office Manager/Dispatcher to join our San Antonio team. Previous dispatching experience is required. Experience in the HVAC, Air Duct Cleaning, or Indoor Air Quality industry is preferred but not required.
This position serves as the primary communication point for incoming sales and warranty calls. The ideal candidate is an excellent communicator, highly organized, able to multitask in a fast-paced environment, and capable of making sound decisions with minimal supervision.
Key Responsibilities
- Answer incoming sales and warranty calls and accurately enter information into the CRM.
- Schedule service appointments and dispatch technicians efficiently.
- Prioritize calls based on urgency and customer needs.
- Communicate job details, updates, and special requirements to field technicians.
- Monitor technician schedules and routes to maximize productivity.
- Coordinate with customers, technicians, and management to ensure timely service.
- Maintain accurate records of calls, appointments, job statuses, and customer information.
- Resolve customer concerns professionally and escalate issues when necessary.
- Assist with general office administrative duties as assigned.
Qualifications
- Previous experience as a dispatcher or in a similar role is required.
- Experience with House Call Pro or similar field service management software is preferred.
- Strong computer and data entry skills.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- Ability to remain calm and professional in a fast-paced environment.
- Excellent problem-solving and critical-thinking skills.
- Dependable, punctual, and detail-oriented.
- Ability to work independently with minimal supervision.
- Valid driver's license required.
- Bilingual (English/Spanish) preferred.
