Position Summary
Women’s Refugee Care is seeking a dependable, organized, and community-focused Administrative and Community Outreach Assistant. The Administrative and Community Outreach Assistant will work closely with the Executive Director and Director of Development to support the organization’s programs, administrative operations, outreach efforts, community partnerships, and long-term goals.
The ideal candidate will be comfortable working with individuals from diverse cultural and linguistic backgrounds and will demonstrate compassion, professionalism, flexibility, and a commitment to Women’s Refugee Care’s mission.
Responsibilities
- Work closely with leadership to with the general management and coordination of programs.
- Provide administrative support to help programs and daily organizational operations run effectively.
- Develop and implement outreach strategies to increase awareness of Women’s Refugee Care’s programs and services.
- Collaborate with the Executive Director and the Director of Development to steward relationships with donors, volunteers, community organizations, schools, faith-based groups, and local partners.
- Represent the organization at community events, meetings, informational sessions, and resource fairs.
- Conduct outreach to recruit program participants, volunteers, community partners, and supporters.
- Create and distribute outreach materials, including flyers, social media content, newsletters, announcements, and other promotional materials.
- Engage with diverse communities in a culturally responsive, respectful, and inclusive manner.
- Organize and coordinate community events, workshops, outreach activities, and informational sessions.
- Collaborate with staff, interns, volunteers, and program leaders to align outreach efforts with program goals.
- Track outreach efforts, community engagement activities, program participation, and other relevant data.
- Gather feedback from clients and community members to help improve programs and services.
- Support partnerships that improve clients’ access to resources, including healthcare, education, employment services, food assistance, and other community supports.
- Assist the Director of Development with coordinating campaigns to promote key programs, initiatives, fundraising efforts, and advocacy priorities.
- Maintain an accurate and up-to-date database of donors, volunteers, community contacts, service providers, and organizational partners.
- Advocate for the needs of the community and help elevate the voices and experiences of the individuals Women’s Refugee Care serves.
- Support multilingual outreach and communication efforts when applicable.
- Provide guidance and support related to the organization’s mission, programs, community impact, and long-term goals.
- Assist leadership with program development, organizational growth, and community engagement.
- Offer mentorship and support to staff members, interns, volunteers, and program leaders as appropriate.
- Assist in strengthening partnerships with community organizations, stakeholders, service providers, donors, and funders.
- Contribute to strategic planning, including identifying opportunities for program expansion, organizational sustainability, and increased community impact.
- Review and provide feedback on program initiatives, reports, outreach materials, and proposals.
- Assist with correspondence, scheduling, recordkeeping, data entry, document preparation, and other general administrative duties.
- Maintain confidentiality when handling client, staff, donor, and organizational information.
- Complete additional administrative, program, and outreach responsibilities as assigned by the Executive Director.
Qualifications
- High school diploma or equivalent required; an associate or bachelor’s degree in human services, nonprofit management, communications, public administration, social work, or a related field is preferred.
- Experience in administrative support, community outreach, human services, nonprofit programming, volunteer coordination, or a related area.
- Strong organizational, communication, interpersonal, and time-management skills.
- Ability to manage multiple responsibilities, maintain accurate records, and meet deadlines.
- Ability to work independently while also collaborating effectively with staff, volunteers, community members, and organizational partners.
- Demonstrated ability to communicate respectfully and effectively with individuals from diverse cultural, ethnic, religious, and linguistic backgrounds.
- Strong written communication skills and the ability to assist with flyers, newsletters, social media content, reports, and professional correspondence.
- Basic proficiency with email, Microsoft Office, Google Workspace, databases, social media platforms, and online communication tools.
- Ability to maintain confidentiality and handle sensitive client and organizational information appropriately.
- Ability to work in person at Women’s Refugee Care’s Providence, Rhode Island location.

- Multilingual skills and experience working with refugee or immigrant communities are strongly preferred.
Compensation and Work Location
The starting rate for this position is $25.00 per hour.
